We are seeking a detail-oriented and service-minded Administrative Associate to support the Director of Faith Formation and department staff, ensuring smooth operation of all ministries within the department. This role plays a key part in keeping our ministries organized, responsive, and running smoothly. Key areas of responsibilities include record keeping, online platform management, communications, reception, budget support, ministry coordination, and calendar management.

We are seeking a detail-oriented and service-minded Administrative Associate to support the Director of Faith Formation and department staff, ensuring smooth operation of all ministries within the department. This role plays a key part in keeping our ministries organized, responsive, and running smoothly. Key areas of responsibilities include record keeping, online platform management, communications, reception, budget support, ministry coordination, and calendar management.
KEY RESPONSIBILITIESAdministrative & Data Management
- Maintain sacramental records in collaboration with the Liturgy Department; communicate with families in preparation processes (Baptism, Family Ministry Phases I & II, OCIC, OCIT, OCIA).
- Manage and update Faith Formation databases and online platforms; collaborate on a streamlined, crossdepartment database.
- Generate program and evaluation reports; assist with forms submitted to the Education, Retreats & Events (ERE) Committee.
- Create and update Faith Formation content on Casa Connect.
- Work with Communications to maintain related website and social media content.
- Develop and coordinate content for the weekly bulletin, Mass slides, announcements, social media, eblasts, and flyers (within Communications guidelines).
- Serve as the primary point of contact for Faith Formation; answer and route calls as needed.
- Monitor budgets and spending across Faith Formation and FIA ministries.
- Submit check requests and reconcile receipts.
- Coordinate Wrapped in Love, infant baptisms/classes scheduling and paperwork, and foodbin oversight with HAM and Guest Services.
- Maintain ministry mailing/contact lists.
- Serve as point of contact for Valley Interfaith Project and ESL volunteer opportunities.
- Train volunteers on email account use; assist with FIA volunteer appreciation events.
- Provide administrative support to Casa Grounds, including placing orders.
- Oversee Faith Formation calendars; submit room reservations and sync with the OLA calendar.
- Bachelor’s degree plus 2 years of administrative experience, or equivalent combination of education and experience.
- Minimum 2 years of parish/diocesan/church ministry experience preferred.
- Strong administrative skills, with the ability to support personcentered, pastoral ministry.
- Ability to manage multiple projects and deadlines effectively.
- Willingness to learn and embrace the theological and ministry philosophies of Faith Formation and Faith in Action.
- Strong interpersonal skills and emotional intelligence; ability to build collaborative working relationships.
- Ability to adapt communication for different audiences.
- Understanding of Roman Catholic Church structure and the Santa Barbara Franciscan Province.
- Proficiency in Microsoft Office (Word, Excel, Publisher, Outlook), Zoom, InDesign; willingness to learn new platforms (e.g., Flocknote, Circle).
- Strong written and verbal communication skills.
- Ability to work 40 hours per week onsite, including evenings and weekends as needed.
- Ability to ascend/descend stairs throughout the shift.
