Primary Function of Position: Provides administrative support to the director and other department members. This position is responsible for keeping department operations organized, supporting the department's productivity, and serving as the first point of contact for both internal and external customers.

Essential Job Functions
Organizational Relationship: Full-time, non-exempt personnel position reports directly to the Director of Marketing and Communications.
Contract Details: Twelve-month contract subject to annual renewal. Working days and hours are Monday through Friday, 8:00 a.m. 4:30 p.m.

Essential Job Functions
- This position requires exceptional customer service skills when answering incoming calls, greeting and serving customers, and maintaining department communications.
- Serves as a greeter for the administration building. This entails notifying administrative personnel when appointments arrive, assisting walk-in customers, and covering the Human Resources administrative assistant.
- Assisting with calendar and scheduling for marketing leadership-scheduling meetings, appointments, etc.
- Assists with purchasing, including generating electronic requisitions, placing orders, monitoring order status, receiving orders, and processing completed order paperwork.
- Tracking marketing budgets and expenses Assists with budget monitoring, invoice processing, or tracking promotional spend.
- Maintains detailed records of account renewals on an annual basis.
- Maintain contact lists Updating customer/prospect databases, segmenting lists for email campaigns, or ensuring data accuracy for targeted marketing.
- Maintains, organizes, and handles incoming requests and inquiries for Marketing via email, voicemail, and other means.
- Works cooperatively with other members of the Marketing team and employees from across the district.
- Assists the Marketing team with special projects as needed.
- Orders and maintains all office and break supplies.
- Responsible for researching and ordering promotional products for use in approved activities.
- Maintains and updates files, databases, and documents. Manages and runs reports as needed.
- Serves external clients by providing product and service information.
- Assists with updating processes, manuals, contracts, files, spreadsheets, and other documents as assigned.
- Provides administrative support for the events function, including scheduling meetings, answering phone and e-mail inquiries regarding meeting rooms, facility requests, billing, and reports.
- Serves on district-wide committees as needed.
- Ability to be present on the job as described under working conditions and contract details.
- Other duties as assigned.
- High school diploma or equivalent required.
- A minimum of three years of administrative experience preferred.
- Must be proficient in Windows and Microsoft Office software (including Excel and Outlook).
- Strong organizational skills.
- Ability to understand and meet critical deadlines.
- Ability to work independently with limited supervision and direction.
- Ability to excel in a fast-paced work environment by prioritizing tasks and projects.
- Strong flexibility, time management, and organizational skills are a must.
- Anticipate needs, be resourceful and have ability to build strong employee partnerships within the organization.
- This position requires both possession of a valid Oklahoma Driver's license and the ability to independently drive to meetings, training locations, and other District campuses. The employee must also remain in compliance with District driving record policies.
