Position Summary
The Maintenance Planner supports the maintenance team by developing job plans, scheduling work orders, and coordinating resources to help ensure equipment reliability and efficient completion of maintenance tasks. This role serves as the primary liaison between operations and maintenance, ensuring that all work orders are prepared with the correct labor hours estimates, materials, and specialized tools. A critical component of this role is ensuring that all planned work adheres to Prevailing Wage requirements, including accurate labor classification and compliance reporting for quarterly audits.
Key Responsibilities
· Work Order Planning: Develop detailed job plans for preventive, predictive, and corrective maintenance. Define the scope of work, estimate labor hours, and identify required skill sets.
· Prevailing Wage Compliance:
o Assign correct labor classifications (e.g., Millwright, Pipe fitter, Electrician,) to work orders based on the specific project’s wage determination.
o Audit contractor and subcontractor work to ensure that Certified Payrolls are correct.
· Scheduling & Coordination: Utilize Computerized Maintenance Management Systems (CMMS) to schedule tasks, minimizing production downtime while ensuring resources are available.
· Resource Management: Identify and kit all necessary parts, tools, and permits before work begins to increase "wrench time".
· Reporting & Documentation: Maintain accurate records for Certified Payroll submissions and ensure all work-related documentation meets audit standards.
· Contractor Liaison: Manage external vendors and contractors, ensuring their contracts and invoices align with prevailing wage schedules.
Preferred Qualifications
· Experience: 3–5 years in maintenance planning or a skilled trade (electrical, HVAC, etc.) within a manufacturing or public works setting.
· Technical Knowledge: Proficiency in CMMS and a deep understanding of mechanical/electrical systems.
· Regulatory Knowledge: Familiarity with Prevailing Wage Laws and the ability to interpret labor types.
· Skills: Strong organizational, communication, and analytical skills; ability to estimate costs and labor requirements accurately.
· Safety & Compliance
o Promote and enforce a strong safety culture.
o Ensure all planned work complies with OSHA, environmental, and company standards.
o Incorporate safety procedures and job hazard analysis into all maintenance plans.
Work Relationships:
The Maintenance Planner works cross-functionally to ensure maintenance activities are well-coordinated, properly resourced, and executed efficiently.
· Maintenance Team: Partners closely with maintenance manager and technicians to develop accurate job plans, gather feedback on completed work, and continuously improve planning and execution processes.
· Operations Team: Collaborates with operations to align maintenance schedules with production needs, minimize downtime, and prioritize work based on plant impact.
· Inventory/Purchasing: Works with purchasing and inventory personnel to ensure timely procurement of parts, maintain optimal stock levels, and resolve material availability issues.
· Contractors & Vendors: Coordinates with external contractors and service providers to define scope, schedule work, and ensure compliance with plant policies and safety standards.
· HR & Payroll: Supports prevailing wage compliance efforts by coordinating with HR and payroll on labor classifications, documentation, and audit readiness for applicable projects.
· Leadership Team: Communicates maintenance plans, priorities, and performance metrics to plant leadership, providing insights and recommendations for continuous improvement.
· Prior experience in maintenance planning or scheduling is strongly preferred.
Physical Requirements:
· Ability to work in both office and industrial plant environments, including exposure to noise, heat, cold, dust, and odors.
· Frequent walking throughout the facility, including climbing stairs, ladders, and navigating uneven surfaces.
· Ability to stand and walk for extended periods of time during plant tours, job planning, and field verification of work.
· Occasional lifting, carrying, pushing, or pulling of materials up to 25–50 pounds.
· Ability to bend, stoop, kneel, crouch, and reach as needed to inspect equipment and review maintenance work areas.
· Must be able to wear required personal protective equipment (PPE), including hard hat, safety glasses, steel-toe boots, hearing protection, and other safety gear as required.
· Ability to work at heights and in confined spaces as needed for planning and inspection purposes.
· Visual acuity to review technical documents, equipment, and computer screens.
· Manual dexterity to operate standard office equipment and computers.
Working Conditions:
· Primarily office-based with regular time spent in the plant environment. · Must be able to work in varying conditions including heat, cold, noise, and dust. · May require occasional after-hours or weekend support during outages or major projects.
