The Job:
We are seeking a Full Time Support Service Office Manager at our premier senior living community to act as a frontline informational contact for residents and coordinate our CNA services to residents.
The Office Manager is responsible for stocking inventory, managing CNA assignments and schedules, liasoning with residents and their families, and other duties to keep the Support Services office running smoothly.
Duties:
- Update CNA assignments on computer weekly, prepare CNA assignments daily. -weekly prepare personal care sheets and nurse billing sheet for following week
- Coordinate medical appointments and transportation for Support Service Residents.
- Answer telephones in the Support Services Office, radio Nurses and CNAs to direct resident needs.
- Prepare resident billing weekly & submit to accounting: personal care records, nursing visits, out of building charges, private charges, and Support Service overage charges
- Ability to discuss & explain the billing charges when residents and family have questions about their bill
- Responsible for ordering & keeping inventory of supplies ordering PPE for Support Service Dept
- Responsible and oversight of updating CNA & nursing schedules and processing vacation requests & coverage, post two weeks in advance, with direction from director of health care services/ nurse supervisor
- Updating Bi-weekly payroll in Paychex and transferring to HR. Edit and review timecards daily to ensure accuracy.
- Monthly billing of Support Service ancillary/supply charges as well as Support Services prebill, cross check residents on/off program levels.
- Filing, faxing, emailing, scanning material as necessary.
- Register Private Home Health Aides providing services to Support Services Residents.
- Post Sign-up sheet weekly for SS aides/residents out of building charges
- Keep Support Services resident list updated and current as well as independent resident list for social worker / front desk / resident services
- Update Resident Status Board.
- Prepare Private Long Term Care Ins. Forms to be submitted to Insurance Company. -print out summary of care sheets weekly to send monthly and prepare letters for LTC, scan to family to submit to insurance company
- Have a good understanding of Support Services as well as independent services, be fluent and comfortable with sharing supports offered with our residents and families.
- Responsible for initial communication of on boarding for new hires, including setting up interviews, confirming scheduling and training
- Coordinating and creating vaccine/booster clinics as scheduled throughout the year
- Participate in weekly health care team meetings and be the communication liaison with Fox Hill Village's assisted living units.
Qualifications:
- Bachelor’s degree or equivalent experience in office administration.
- Experience in scheduling Home Care and/or working in a Home Care office management position.
- Medical Terminology Required
- Experience with scheduling, billing, & general clerical duties in a medical environment preferred.
- Exceptional computer skills, with proficiency with ALIS and Microsoft Office (Windows, Outlook, Excel) .

Pay: $70,000.00 per year
