Director of Technology & Administration

Summary

The Director of Technology & Administration is responsible for obtaining, planning, implementing and supervising all administration team and technology staff. Partnering with the VP of Technology & Administration, this role serves as the organizational champion of administrative skills and technology support that is provided across the organization. Daily oversite and direction to the technology and administration teams will be vital in the team’s success. Partnering with leaders across the organization to ensure end user’s heightened technology acceptance and utilization to enhance existing business technologies and applications will further support Four Seasons’ Mission Vision and Values. The VP of Technology & Administration collaborates with strategic leaders in establishing the strategic plan and budget which supports the strategic plan of the agency.  The Director of Technology & Administration will partner with the Technology & Administration team to pay forward the utilization promotion of technologies and administrative support to ensure smooth operation of services and information technology solutions. 

 

Essential Duties & Responsibilities

  • Work to achieve performance goals, pursue progress toward my learning plan (MLP) and demonstrate Four Seasons values and competencies 
  • Partners with the Technology Team to ensure staff orientation is accurately provided and effective for individuals joining the organization
  • Provides assistance to technology team members IT Access/SAAR requests to ensure accuracy based upon user’s role and job responsibilities in collaboration with leadership approval 
  • Contributes to a climate that promotes growth, development and teamwork throughout Four Seasons
  • Build, develop, facilitate and lead a team, enabling creative thinking, ownership of responsibilities and teamwork
  • Hire, develop, coach, supervise and evaluate team members
  • Understand roles and responsibilities of each team member in order to effectively utilize and administer team resources, improve efficiency, promoting synergy and high-performing teamwork
  • Assist, coordinate and facilitate projects as directed by VP of Technology & Administration
  • Provide heightened support with application needs, including problem-solving and partnership collaboration with technology service providers and staff to ensure staff technological needs are managed effectively, accurately and timely 
  • Partner and collaborate effectively with organizational leaders to ensure technology and administrative support is accepted, utilized and best used by themselves and their teams 
  • Ensures timely responses to IT needs, follow through on assignments, and successful project delivery and implementation according to scope, budget, schedule and success criteria 
  • Considers best approach and deliverables for each project rather than a one size fits all process and seeks approval by leader or other leadership team member to be able to move forward with deliverables
  • Provides a reliable interface between staff and technology service providers ensuring they uphold Four Seasons’ expected levels of service to our staff and community partners 
  • Partner with Professional Development to create and provide user-based training within applications as necessary
  • Assists the VP of Technology and Administration in guiding community partnership resources on behalf of the agency 
  • Maintains and ensures an organized system for management of all technology equipment and site and/or storage locations to ensure equipment viability, sourcing and procurement are as efficient and effective as possible
  • Partner with VP of Technology & Administration to research, recommend and assist to implement solutions as tools for the organization via technology solutions for day to day staff as well as long term sustainable organizational needs
  • Serve as internal resource of information and assistance related to technology, access and administrative skills
  • Partner with VP of Technology & Administration to create and effectively implement strategic goals and objectives to ensure appropriate, effective  and timely accomplishments as related to administration and technology teams

 

 Knowledge, Skills, and Abilities

  • Knowledge of HIPAA privacy policies
  • Advanced proficiency in MS Office: Outlook, OneNote, Word, Excel, PowerPoint, etc.
  • Knowledge and skills in social networking
  • Problem solving – identifies and resolves problems in a timely manner, gathers and analyzes information skillfully and maintains confidentiality.
  • Interpersonal skills - maintains confidentiality, remains open to others’ ideas and exhibits willingness to try new things.

Minimum Qualifications

Education:          

  • Bachelors of Science Degree in Business Administration, Technology related field or equivalent experience

 Experience: 

  • 5 years experience in technology department or organization responsible for coordination of IT projects and vendors 
  • 5 years of administrative support and coordination responsibilities in a fast-paced regulatory governed organization preferred
  • 5 years experience in executive administrative assistance
  • 2 years experience in service desk support including troubleshooting applications, hardware and network connectivity preferred
  • Exposure to a project management methodology 
  • Direct responsibility for projects, teams, or applications 
  • Software development life cycle experience preferred
  • Software interface methodologies experience preferred 
  • Disaster preparedness experience preferred
  • Software testing experience preferred

 Licensures & Certifications: (if applicable) 

  • Valid driver’s license and proof of automobile insurance. 
  • Microsoft or other IT vendor certifications preferred
  • Project management certifications preferred
  • Business analyst certifications preferred
  • ITIL certification preferred

 

Summary of Physical Requirements

  • Hand dexterity to include gripping, carrying, pushing & pulling 
  • Fine finger movements to include writing & typing, frequently 
  • Flexion/Extension of arms & wrists 
  • Additional gross motor movements including: bending, reaching, twisting, turning, crouching, squatting, & kneeling   
  • Near & far visual acuity  
  • Ability to hear, understand, & distinguish speech and other sounds  
  • Prolonged sitting, in excess of four hours per day   
  • Ability to drive and/or transport self to and from work locations 
  • Ascending or descending stairs & ramps 
  • Ability to lift, carry, push & pull up to 10 pounds, frequently 
  • Ability to lift, carry, push & pull up to 50 pounds, occasionally  
  • Ability to lift, carry, push & pull up to 100 pounds with the help of another person or equipment, occasionally
