About the Role

We’re hiring a Maintenance Dispatcher to be the nerve center of our in-house maintenance team. This role owns scheduling, technician coordination, and day-to-day communication between residents, technicians, and internal staff. If you’re organized, calm under pressure, and good at keeping moving parts aligned, this role matters.

You’ll be responsible for making sure the right technician gets to the right job at the right time, and that nothing falls through the cracks.

Key Responsibilities

• Answer inbound calls and emails from residents, owners, and internal teams

• Evaluate service requests and assign the best technician based on skill, location, and urgency

• Manage daily technician schedules and real-time adjustments in the field

• Serve as the primary point of contact for technicians during working hours
• Coordinate materials, supplies, and equipment required for unit turns, ensuring items are ordered in advance.                                                                                                                                                                                                

• Maintain keyless lock inventory, including quality control of inventory usage and accurate billing within work orders.

• Update and maintain the keypad/keyboard system, ensuring access codes and combination sheets remain current.

• Track work orders, notes, and outcomes accurately in AppFolio.
• Keep customers informed throughout the day on arrival times and job progress

• Work closely with Maintenance Coordinators to set accurate expectations

• Track work orders, notes, and outcomes in AppFolio

• Follow up on unsold work, estimates, and open leads from technicians

• Monitor technician productivity and work order closure rates
• Perform quality control reviews of monthly maintenance invoices to ensure accuracy and proper billing.

• Escalate issues as needed and help resolve customer concerns professionally

• Support management with reporting, summaries, and administrative tasks

• Assist with billing, proposals, and general office support when needed

What We’re Looking For

• 2 years in a customer-facing role. Dispatcher experience preferred

• Strong phone presence and clear written communication

• Highly organized with strong follow-through

• Comfortable using software systems. AppFolio experience is a plus

• Able to stay calm, prioritize quickly, and make decisions in real time

• Confident holding technicians accountable while maintaining good working relationships

• Team-oriented, but comfortable owning your lane

• Reliable, adaptable, and steady under pressure

• A bachelor’s degree is a plus, but not required.
