About the Role
We’re seeking a highly organized and detail-driven AR/AP / Office Manager to join our growing hospitality group. This position plays a vital role in managing financial operations across multiple brands — including Barrel House, Ghost Chicken, and BHE Hospitality — ensuring accuracy, timeliness, and accountability in all accounting processes.
The ideal candidate is dependable, proactive, and thrives in a fast-paced, multi-brand environment. You’ll work closely with ownership and leadership to maintain smooth day-to-day operations, accurate reporting, and strong vendor and franchise relationships.
Key Responsibilities
Accounts Payable / Receivable
- Enter, review, and process invoices across brands in QuickBooks Online (QBO) and Restaurant365 (R365)
- Manage franchise royalties and marketing fund billing; issue invoices and maintain reporting in Google Docs
- Process vendor payments via checks, ACH, and other approved methods
- Maintain accurate AP/AR aging schedules and ensure timely payments
- Record ACH payments by location, vendor, and amount for cash projection tracking
- Collect and maintain W-9s, process 1099s, and manage vendor onboarding
Financial Tracking & Reporting
- Update and maintain Cash Projection Sheets, bank balances, and invoice summaries
- Run and update Royalty and Marketing Fund Reports
- Reconcile bank transactions for Four C and BHE accounts
- Complete and verify monthly bank reconciliations
- Support quarterly workforce filings and year-end audits
- Assist with rebates, filing, and record-keeping
Administrative / Licensing
- Process liquor license applications and renewals for all locations
- Manage rent payments and other recurring expenses
- Coordinate with leadership to ensure accuracy in franchise billing, royalty reports, and marketing fund allocations
- Maintain vendor compliance files and manage rebate submissions
Communication & Support
- Prioritize and respond to accounting-related emails for Barrel House and Ghost Chicken
- Partner with leadership to support reporting needs, vendor questions, and internal approvals
- Invoice partners such as IHMVCU for promotional programs (e.g., Kids Meals)
- Collaborate with external accountants and auditors as needed
- Support CEO, VP, and DO in daily audits, forms, and office tasks that need completed
Qualifications
- 3 years of accounting or bookkeeping experience (hospitality experience a plus)
- Strong understanding of Accounts Payable, Accounts Receivable, and general ledger principles
- Experience with QuickBooks Online and/or Restaurant365 preferred
- Proficiency with Excel/Google Sheets and data entry accuracy
- Excellent organizational and multitasking skills
- High attention to detail, confidentiality, and accountability
