Job Description – Event Planning and Administrative Coordinator
Position Summary:
The Event Planning and Administrative Coordinator supports Forward Foundation’s mission by helping organize and execute the Foundation’s fundraising and participant program events throughout the year. This role blends event coordination, logistics organization, marketing, and administrative support to ensure the success of two major fundraising events and several smaller events and monthly participant programs.
The ideal candidate is highly organized, detail-oriented, tech-savvy, and thrives in a collaborative environment. This individual will play a key role in creating meaningful event experiences and supporting the Foundation’s day-to-day operations.
Reports to: Executive Director
Hours: Part-time, hybrid position (10–20 hours per week) Wage range: $20-$25/ hour
Key Responsibilities
Event Planning & Coordination
- Support the planning and execution of all Foundation events, including two major annual fundraisers and smaller community and participant programs.
- Manage logistics such as venue setup/breakdown, vendor coordination, catering, and décor.
- Track timelines, budgets, and task lists to ensure event readiness.
- Assist with event promotion and marketing, ticketing, and communications.
- Capture photos and videos during events and programming for post-event communication and marketing.
- Coordinate event follow-up with the Executive Director and Community Partners & Program Lead.
Program & Administrative Support
- Provide administrative support to the Executive Director and Program Lead for monthly participant programs and other initiatives.
- Track donor activity and maintain accurate data in the Foundation’s CRM (Bloomerang)and fundraising platforms (Auctria & RunSignUp).
- Manage incoming calls, emails, and general inquiries with professionalism and warmth.
- Support scheduling, file organization, and document preparation.
General Operations
- Participate in staff meetings, scheduled programming, and contribute to event planning discussions.
- Maintain effective communication with team members, volunteers, and community partners.
- Serve as an ambassador for the Foundation at events and within the community.
Qualifications and Skills
- Minimum 2 years of experience in event coordination, nonprofit support, or related administrative roles.
- Social media and tech-savvy. Comfortable with Microsoft Office, Google Workspace, Zoom, Canva, Loomly, IG, FB, LinkedIn, Auctria, RunSignUP, and CRM systems (Bloomerang experience preferred).
- Strong written and verbal communication skills; impeccable attention to detail.
- Excellent organizational and time management skills; able to juggle multiple priorities.
- Positive “roll-up-your-sleeves” attitude and commitment to seeing tasks through.
- Professional demeanor and ability to represent the Foundation with integrity and enthusiasm.
- Proven ability to work independently and as part of a small, collaborative team.
- Ability to work occasional evenings and weekends for events.
Education
Associate’s or Bachelor’s degree in communications, event management, nonprofit studies, or a related field preferred; relevant experience with a high school diploma required.
Compensation
- Competitive hourly rate commensurate with experience.

We are dedicated to empowering working single parents through providing monthly childcare subsidies and support services that drive economic stability, personal growth, and generational impact via educational partnerships and community collaboration.
Our parents need to work to support their families. For many single parent families, the income they make isn’t enough to cover their basic expenses. This is where we step in to assist. Forward Foundation VA is unique in that it serves a very niched demographic of single parents who typically cannot receive help from the state due to earning too high of an income. Through our 18-24 month program, we empower single parent families to move forward beyond their current hardship.
We bridge the gap for the many families who fall in between and create opportunities for single parent families to be financially independent and achieve long term financial stability. The critical needs Forward Foundation VA addresses are to provide working, single parent families, with substantial financial, professional, emotional, and community support.
