Duties
- Manage and coordinate executive calendars using tools like Microsoft Outlook Calendar and Google Workspace, ensuring all appointments, meetings, and events are accurately scheduled and prioritized.
- Prepare, proofread, and transcribe documents, reports, and correspondence with precision using Microsoft Office suite and transcription skills.
- Organize and plan events, meetings, and travel arrangements, including booking venues, accommodations, transportation, and preparing agendas.
- Handle incoming calls with professional phone etiquette on multi-line phone systems; screen and direct inquiries efficiently.
- Support bookkeeping and financial tasks such as data entry in QuickBooks, invoicing, expense tracking, and basic office management duties.
- Maintain filing systems—both digital and physical—ensuring documents are organized for easy retrieval while managing confidential information securely.
- Assist with project coordination by tracking deadlines, preparing materials, and collaborating across teams to meet objectives.
- Perform clerical duties including data entry, photocopying, filing, front desk reception responsibilities, and managing office supplies inventory.
- Support personal assistant tasks as needed for executives including personal scheduling or errands that enhance overall productivity.
Requirements
- Proven experience as an executive assistant or in a similar administrative role with strong office management background.
- Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with DocuSign for electronic signatures.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Strong typing skills coupled with proofreading and transcription capabilities for accurate document preparation.
- Experience with bookkeeping software such as QuickBooks along with basic bookkeeping knowledge.
- Exceptional communication skills—both verbal and written—with professional phone etiquette on multi-line systems.
- Ability to handle confidential information discreetly while maintaining high levels of accuracy in data entry and filing.
- Familiarity with project coordination tools and techniques to support team initiatives efficiently.
- Prior experience supporting executives or high-level professionals is preferred; personal assistant experience is a plus.
- High school diploma or equivalent required; additional certifications in office administration or related fields are advantageous.
