Travel and Media Coordinator
Job Summary
The Travel and Media Coordinator plans, coordinates, and manages travel arrangements for student group clients, providing expert advice, personalized itineraries, and ensuring a seamless travel experience. The Travel and Media Coordinator will also oversee social media content and assist with any music festival production needs throughout the festival season.
The Travel and Media Coordinator will report directly to the Senior Travel Specialist.
Key Responsibilities
Create travel proposals and follow up with clients as needed to book the group
Pull contracts, manage reservations and maintain deadlines for overnight trips
Pay deposits and final payments for overnight expenses
Coordinate itineraries with the Senior Travel Specialist
Coordinate rooming lists with Senior Travel Specialist and hotels
Update vendor contact lists as needed; maintain informational lists for vendors
Coordinate custom one-days (buses, restaurants, theatre, etc); maintain early shipper list
Update registrations as needed
Maintain ticket order sheets for overnights and custom one-days
Managing text message alert system as needed
Print, assemble and ship overnight packages
Update expense reports for overnight trips
Collect liability and release forms from clients
Double count tickets and assist the Ticketing Manager as needed
Seasonal reporting
Reviewing performance schedules and festival day-of materials
Collect and organize festival set-ups sheets for directors per venue
Update website with dates, new verbiage, etc as needed
Manage and coordinate Facebook and Instagram content throughout the year
Create and execute enewsletters to clients monthly
Additional administrative support as needed
Qualifications
Outgoing and confident public speaker with great interpersonal skills
Organized with CRM experience
Detail-oriented
Social media content management experience
Flexible attitude, willing to step in as needed throughout the organization
Previous experience in student group travel appreciated but not required
Schedule
Seasonal – September through May to start
Possible position growth into year-round part time or year-round full time
10-15 hours per week September-December
20-30 hours per week January-May
Monday-Friday 8 AM-4 PM structure with options for work-from-home; occasional Saturday hours planned in advance March-May
Compensation/Benefits
$25-$32 per hour based on experience and qualifications
