Forum Health continues to expand through multiple lead sources and third-party CRMs outside of our core technology stack. We?re seeking a Sales Support Coordinator who will serve as the dedicated point of contact for capturing, organizing, and advancing these ?off-stack? patient leads. In this role, you?ll ensure that every opportunity is tracked and acted on, strengthening communication and productivity across the team while helping our sales representatives convert qualified inquiries into scheduled appointments.
What you?ll do:
- Own the off-stack funnel. Monitor, import, and manage qualified leads originating in non-core platforms (e.g., partner CRMs, lead-gen portals, landing page tools, contact forms).
- Rapid response routing. Triage new leads, enrich records, and route to the right Forum Health sales representative along with all required context.
- Follow-through to conversion. Proactively nudge every lead forward (call/text/email sequences, reschedules, reactivation touches) and coordinate with sales teammates until the lead is under their control.
- Data hygiene & reconciliation. Deduplicate, normalize, and map fields; maintain audit-ready records; and reconcile statuses between external systems and Forum Health?s core stack.
- Playbook execution. Run standardized, multi-touch follow-up cadences (calls/voicemail, SMS, email) tailored by lead source and patient interest (e.g., hormones, weight loss, IV, Lyme).
- Issue resolution. Identify broken handoffs, integration gaps, and ?black-hole? queues; log issues and drive fixes with Marketing Ops/IT.
- Conversion reporting. Build dashboards aggregating the data from non-core platforms that highlight lead volume, contactability, and conversion by source; present insights and improvement ideas to Director of Sales.
- Compliance-first execution. Uphold HIPAA/TCPA/consent best practices and Forum Health brand voice in every outreach.
What You Bring:
- Proven CRM proficiency (any major CRM/marketing automation; comfortable learning new systems fast).
- Strength in list management, data mapping, deduping, and building clean reports (Excel/Google Sheets essential).
- Process discipline with urgency?thrives on SLAs, checklists, and closing loops.
- Excellent written and verbal communication; confident phone presence; empathetic, service-oriented style.
- Working knowledge of HIPAA, PHI handling, and TCPA/consent in outreach.

Qualifications:
- High school diploma or GED required. Bachelors degree or higher preferred
- 2?4 years in sales coordination, sales ops, or revenue operations?healthcare, multi-location services, or consumer health strongly preferred.
- Experience with GoHighLevel, Hubspot, Salesforce, Jira, Zendesk highly preferred.
- Must be authorized to work in the United States without the need for sponsorship now or in the future.
