Summary:
The Recruiting Specialist is responsible for recruiting and assigning resources (contractors) to assignments nationwide. This position plays a key role in work fulfillment and operational efficiency of the organization.
Essential Responsibilities:
- Recruit reporters, videographers, and interpreters to build an overall resource pool and to cover job assignments
- Assign resources to job assignments
- Negotiate contractor rates when needed
- Request, store, and share with administrator resources’ W9s, rate sheets, notes, and specialties to maintain up-to-date contractor files
- Schedule new litigation jobs (assignments) that come into shared or individual email inboxes
- Review job information special requests, and notes for accuracy to ensure resources are prepared for court proceedings
- Monitor the national scheduling inbox during regular business hours. Color code all emails you are working on
- Assign and send confirmation emails to clients and resources providing status updates
- Manage and update the availability calendar as needed
- Follow-up with reporters post job for updates on late assignments
- Document, update and review administrative processes in the SOP manual
- Answer and direct phone calls
- Perform other duties as needed or assigned
Qualifications:
- Recruiting experience preferred
- Proven experience working in an office setting
- Data-entry
- High level of organization, attention to detail, problem-solving, critical thinking, and recollection
- Manage email and phone calls in a professional and timely manner
- Make judgment calls based on the information at hand
- The ability to work well under deadlines and pressure
- Flexible, adaptable, personable, and service-oriented
- Excellent grammar and writing skills
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and scanners
- Proficiency in MS Office Suite
Educational Experience: High School diploma or GED required
Physical Requirements:
· Office environment
· Sitting for extended periods of time
Travel Requirements: Minimal travel is required
Hiring Process: We will schedule a phone interview that should take 15-30 minutes. Should we both wish to move forward, we would invite you to our office for an in-person interview. You should allow for at least an hour.
Attire: Business casual, dress pants and shirt (collared or blouse; no t-shirts or sportswear), dress shoes.
Job Type: Full-time, position will start at 8:30am-5:00pm, sometimes later.
Work Location: In-person, at our lovely office downtown Grand Rapids
Expected hours: Approx. 40 per week
Time off: Nine paid holidays and two weeks paid annually with up to 40 hours roll-over
