The ideal candidate is a self-starter that embraces ambiguity, thinks big, and brings their own uncompromising standards of excellence. The Contract Administrator is responsible for coordinating the qualification and compliance process for all subcontractors working with the organization. This includes verifying credentials, managing documentation, ensuring adherence to safety and legal standards, and maintaining up-to-date records. This role plays a key part in minimizing risk and ensuring only approved and compliant subcontractors are utilized on company projects.

Primary Job Responsibilities:
- Coordinate the full subcontractor qualification process, including application intake, document collection, and status tracking.
- Review and verify subcontractor documentation such as insurance certificates, safety records, licenses, and certifications.
- Maintain an accurate and organized database of all qualified subcontractors.
- Communicate directly with subcontractors to request missing or expired documents and ensure timely updates.
- Ensure subcontractors meet all company standards, client requirements, and regulatory obligations before approval.
- Collaborate with internal teams (Safety, Legal, Risk, and Project Management) to review subcontractor qualifications.
- Support vendor onboarding efforts and manage renewal schedules for expiring credentials or insurance.
- Identify and recommend process improvements to streamline qualification procedures.
- 2 years of administrative experience within a fast-paced organization
- Strong proficiency with Microsoft Excel
- Strong organizational and time management skills
- Excellent written and verbal communication
- Excellent team player who is comfortable wearing multiple hats
- Ability to maintain focus while working in a high level, fast paced environment.
- Ability to effectively organize, plan, and manage multiple activities to accomplish desired results.
