Medical Receptionist – Job Description
Schedule: Three 12hr shifts
Shift A- Sunday to Tuesday 6:30 am to 6:30 PM or 7:30 am to 7:30 pm
Shift B- Wednesday to Friday 6:30 am to 6:30 PM or 7:30 am to 7:30 pm. Friday we do close at 4pm.
Job Summary
The Medical Receptionist is the first point of contact for patients at Fortuna Family Medicine. This role involves managing patient interactions, supporting clinical and administrative staff, maintaining accurate records, and ensuring a smooth and professional front desk and check-out experience.
Duties and Responsibilities
Patient Interaction & Communication
- Greet patients professionally in person and over the phone
- Answer, redirect, or resolve patient questions and concerns promptly
- Comfort patients and address anxieties by providing clear information
- Provide new patient paperwork and explain portal options
- Handle follow-up communications, including patient portal messages and returned calls
Scheduling & Administrative Support
- Check in and check out patients, collecting all required documents and payments
- Verify patient insurance eligibility and prepare accounts for appointments
- Schedule, cancel, or follow up on appointments as needed
- Optimize provider schedules for efficiency and patient satisfaction
- Closely monitor no-shows and call patients accordingly
Medical Records & Data Management
- Retrieve, update, and maintain accurate patient records
- Prepare patient charts and gather necessary documentation
- Enter patient data promptly and accurately in Athena or other systems
- Scan, fax, and file incoming documents
- Safeguard patient records in compliance with HIPAA standards
- Maintain organized digital and physical filing systems
Financial & Office Responsibilities
- Process copays, payments, and other financial transactions accurately
- Maintain office inventory and ensure necessary supplies are available
- Keep the lobby and patient areas clean, professional, and welcoming
- Perform routine administrative tasks such as making copies, closing drawers, and completing personal task lists
Additional Support Tasks
- Assist clinical staff with patient flow
- Follow up on “patient pick up” documents and mail as needed
- Support PHC monthly letters or other periodic administrative projects
- Maintain additional office areas (bathroom, fridge, plants)
Skills and Qualifications
- Strong communication skills, both verbal and written
- Excellent organization and time management for multitasking
- Attention to detail for accurate scheduling and recordkeeping
- Proficiency with technology, including Athena, word processing, and spreadsheets
- Strong interpersonal skills to interact positively with patients and staff
Education and Experience
- High school diploma or equivalent required
- California driver’s license
- 1 year of receptionist or clerical work preferred
