Position Overview
We are seeking a highly organized and proactive Client Service Associate to support Partner & Financial Advisor, Kevin Sandieson. This is a part-time role (approximately 20-30 hours per week) based in our Pewaukee, WI office, with some flexibility to work remotely. Occasional evening or weekend hours may be required for special projects or events.
Mission
The Client Service Associate’s mission is to stay five steps ahead of Kevin—anticipating needs, managing details, and creating efficiencies—so he can focus on serving clients and growing the business. Success in this role means ensuring administrative and client-support tasks are handled with accuracy, confidentiality, and a consistently positive attitude.
Key Responsibilities
Administrative Assistant & Office Management
- Handle office tasks such as filing, ordering supplies, and preparing reports/presentations.
- Support new client onboarding and ongoing client service needs.
- Work directly with Schwab to ensure accurate account setup and maintenance.
Scheduling & Communication
- Manage Kevin’s calendar and email inbox, including external communication with clients.
- Coordinate client meetings (in-person and virtual), prepare agendas, take notes, and follow up.
- Maintain professional and timely communication by phone, email, and mail.
Client Support & Data Management
- Enter client financial information into planning software.
- Record notes and calls in our CRM (Wealthbox).
- Anticipate client needs to ensure a seamless experience.
Other Tasks
- Assist with research projects, travel coordination, and gift ordering.
- Run occasional errands (stamps, office supplies, etc.).

- Confidentiality: Handle sensitive financial information with discretion.
- Organization & Anticipation: Ability to prioritize, stay ahead, and proactively support Kevin.
- Collaboration: Team-oriented, positive, and solutions-focused.
- Technology: Proficiency with Microsoft Office Suite and comfort learning new platforms (Schwab, Holistiplan, Wealthbox, Riskalyze, Advyzon, etc.).
Qualifications
- Bachelor’s degree preferred.
- Minimum 2 years of experience as an Client Service Associate or similar role; RIA industry experience strongly preferred.
- Must successfully pass a background check.
