Position Summary:
The Nursing Administrative Assistant works closely with administration to meet Nursing Department organizational needs and must exercise consistently sound judgment as well as effective clerical and communication skills.
Essential Duties and Responsibilities:
· Displays excellent communications and organizational skills in responding to faculty, students, other college staff as well as other community stakeholders
· Solves problems or guides/refers to others as needed
· Promotes positive, professional image and reputation of nursing program in academic settings, academic community, health care community and community at large
· Assists in planning graduations, pinning ceremonies, nursing student orientations, etc.
· Sets up and coordinates meetings and conferences
· Ensures filing of all incoming paperwork and completeness of all student files
· Collects new faculty paperwork, i.e., pre-employment license web verification, curriculum vitas, official transcripts, current CPR and updated immunizations to ensure completeness of nursing faculty personnel files
· Records and files faculty and committee minutes
· Accurately completes assignments/projects within specified timeframes
· Supports faculty and staff in assigned project based work
· Orders, maintains, and distributes student uniforms
· Support clinical coordinator to ensure student and faculty clinical compliance
· Order desktop copies of textbooks
· Completes data development, reports, and projects, as assigned
· Answers phones and relays messages
· Distributes mail/email/memos, electronically as needed
· Create and modify documents using Microsoft Office
· Follows set policies and procedures of the programs and college
· Exercises appropriate judgment in carrying out instructions
· Performs routine office or clerical support
· Performs other related duties as requested
· Order nursing office supplies
· Regular and reliable attendance
Skills/Competencies/Qualifications:
· At least two years experience as an Administrative Assistant.
· Administrative writing skills
· Ability to use Microsoft Office software, managing variety of administrative processes
· Excellent organizational skills, professionalism and problem solving skills
· Supply management, inventory (or similar skills) control experience
· Excellent verbal communication skills
Classification: Non-exempt
Work Hours: 20 hours per week but may vary daily, and evening and weekend hours may be required
