We are seeking a highly organized and proactive Office & Operations Manager to lead the daily operations of our growing company. This is a foundational role designed for a professional who excels at building systems from the ground up. You will serve as the central hub of the business, facilitating communication between field personnel, customers, and contractors. The ideal candidate will possess strong leadership skills, a "tech-forward" mindset, and the ability to manage everything from complex project scheduling and material procurement to our digital marketing presence.
Key Responsibilities
- Operations & Field Coordination: Oversee daily office operations and manage complex schedules for field personnel and executive calendars to ensure seamless project delivery.
- Logistics & Procurement: Lead the procurement of materials for active jobs, managing vendor relationships and negotiating contracts to ensure cost-efficiency and timely supply.
- Customer & Contractor Liaison: Manage the front-office experience, including multi-line phones and clear correspondence with customers and outside contractors.
- Digital Marketing & Social Media: Manage and grow the company’s social media presence (Instagram, Facebook, etc.) and assist in executing local marketing strategies to drive business growth.
- Financial Administration: Oversee essential bookkeeping tasks, including budgeting, payroll processing, and data entry (QuickBooks).
- Process Development: Master our proprietary scheduling software and create standardized filing systems and workflows as the business scales.
- Human Resources: Support HR functions, including onboarding new employees, maintaining records, and supervising administrative staff as the team grows.
Qualifications
- Experience: Proven experience in office management or administrative roles; experience in construction or the trades is a significant plus but not required.
- Tech-Savvy: Proficiency in Microsoft Word, Excel, and QuickBooks is required. Must have a demonstrated ability to learn and master new software quickly.
- Marketing Skills: Proficiency in social media management and basic digital marketing is preferred.
- Organizational Mastery: Exceptional organizational skills with the ability to multitask effectively in a fast-paced, "startup" environment.
- Communication: Strong interpersonal skills with a focus on professional phone etiquette and clear, effective writing.
- Leadership: Experience supervising personnel and managing vendor relationships with a high degree of discretion and professionalism.
