SUMMARY
Works closely with security department Manager in promoting a professional business environment.  Provide support and complete a wide variety of assignments independently with minimum supervision. Assists with security and safety issues. Completes special projects as assigned.

 

ESSENTIAL JOB FUNCTIONS:

  • Order all supplies for Security Department and distribute once received.
  • Must portray a positive attitude under all circumstances, understand and represent the core values of Apache Casino Hotel and live the mission of always providing exceptional service.
  • Schedule, coordinate and complete all administrative work as assigned to ensure efficient and effective administrative support.
  • Organize assignments to maintain the greatest efficiency in the completion of special projects and clerical assignments.
  • Draft and compose correspondence, memorandum, e-mails, reports, and miscellaneous documents using Microsoft Office products.
  • Process vendor invoices in accordance with departmental procedures.
  • Handle of vendor inquiries regarding payments.
  • Be accountable for all invoices for expenses and turn originals into Accounts Payable.
  • Enter ban information for all guests and once approved by Management, e-mai8l to necessary personnel.
  • Be accountable for all gas receipts for the security vehicle and turn in at the end of each month.
  • Create personnel files on all new team members in the Security Department.
  • E-mail all new hire driver’s license information to Safety Coordinator to add to the insurance.
  • Prepare status change forms for terminations, resignations, changes, and forward original to Human Resources.
  • Prepare personnel requisitions and forward the original to Human Resources.
  • Scan and file all paperwork from Security Leadership and put in personnel files, original to Human Resources.
  • Scan all team member temporary/emergency identification forms into proper folder and forward original to Gaming copy to Human Resources, and a copy to Payroll.
  • Prepare monthly attendance report for all Security Department team members and forward original to Gaming, copy to Human Resources, and copy to Payroll.
  • Forward all evaluations for Security team members to Human Resources and scan a copy into their personnel file.
  • Update evaluations list, training log, and phone roster for all Security Team Members.
  • File all hard copies of incident reports and make necessary copies for Safety Coordinator.
  • Administrator for Prox Safe Key Systems: add, elete, and edit users.
  • Approve payroll for Security Department.
  • Give Security presentation to Orientation group on a weekly basis.
  • Give assistance to all other departments including EDA and Mountain Management whenever necessary. 
  • Prepare outgoing mail, files correspondence and other departmental records and reports.
  • Interface with all operational and support departmental staff as well as outside agencies and vendors, in a courteous, appropriate manner.
  • Respond to letters, items of concern, and/or inquiries promptly and politely in accordance with departmental policies and procedures.
  • Attend meetings as required, record the minutes, and prepare same for distribution.
  • Answer telephone and give information to callers, or route call to appropriate individual, places outgoing calls.
  • Receive and distribute incoming departmental mail, facsimiles, etc.
  • Prepare documents and reports regarding monthly, quarterly, and/or annual operational matters as directed.
  • Monitor and replenish office supplies.
  • Run various errands.
  • Understand and comply with Eye-Hi-Goodbye program.
  • Understand and comply with established appearance standards.
  • Understand and comply with the attendance policy.
  • Perform other related duties as may be assigned.

While performing the duties of this job, the team member is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear.  The team member is occasionally required to stand; walk; climb or balance; and stoop, kneel, crouch, or crawl.  The team member must occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

 

While performing the duties of this job, the team member is regularly exposed to risks associated with travel between buildings and back and forth to other areas as may be required due to business demands. The team member is occasionally exposed to fumes or airborne particles, including second-hand environmental smoke. The team member may be exposed to the risks associated in attempting to resolve issues with extremely irate or difficult guests or staff members. The noise level in the work environment varies from light to moderate.

 

 

Qualifications:

QUALIFICATIONS:

  • Minimum three years related experience in administrative support position and/or security experience required and an AA degree or an equal combination of experience and education.
  • Strong computer skills to include effective working knowledge of Microsoft Office Products such as Word, Excel, Power Point, Outlook, etc.
  • Strong written and oral communication skills required.
  • Ability to solve problems and deal with a variety of situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • This position can require travel between various local locations therefore reliable transportation is needed.
  • Must be able to obtain and maintain a gaming license with FSAGC.
