What are the responsibilities and job description for the Human Resources Certification Specialist position at Fort Mill School District 4?
Purpose: Provides administrative support to the Director of Human Resources, specifically in the area of certified staff. The position also assists the department with data collection, entry, processing, and reporting as required by the district and state policies and procedures, and provides ongoing support to certified staff.
Reports to: Director of Human Resources
Terms of Employment: 240 days per year, 8 hours per day, Exempt
Salary: FMSD (Sa1) Support Specialist Salary Schedule. Compensation commensurate with education and experience.
Duties:
- Coordinates onboarding process for certified employees (certified teachers, administrators, and other professional staff)
- Works closely with the Director of Human Resources and provides support as needed
- Assists employee candidates with the process for becoming South Carolina-certified
- Ensures certified hires are appropriately certified for positions
- Communicates with the State Department of Education staff relating to certified staff requirements and various matters
- Maintains a working knowledge of the State Department of Education’s Required Credentials for Educators manual and must be able to advise candidates regarding required certifications/endorsements appropriately
- Processes and maintains a database of all certified staff, and extracts data as needed
- Completes all state-required reports for certified staff (SC Educator Compensation Report, EEO Report, Supply and Demand Report, etc.)
- Generates/issues contracts for certified staff annually and new hires as needed
- Works closely with Educator Effectiveness in determining proper contract levels for certified staff hires and staff changes
- Maintains ongoing communication with principals regarding certified personnel matters related to job assignments, state accreditation report information, etc.
- Conducts background checks and processes I-9 forms of certified applicants
- Maintains School ERP Pro (HRIS) database for new and existing certified employees
- Prepares, maintains, and extracts vital data using Excel and Google systems for various purposes
- Notifies the Benefits Office of new hires and separations
- Enters Personnel Action Requests (PARs) for all certified employee status changes (i.e., new hires, transfers, position changes, location changes, salary changes, separations, etc.)
- Works closely with the Payroll Department regarding employee compensation matters
- Corresponds with staff regularly using various means of professional communication
- Other duties as assigned
Qualifications:
- High School Diploma required
- Four-year degree from a college or university preferred
- Successful experience in a professional office environment, preferably in Human Resources and/or an educational setting
- Technology proficiency at a high level is required (Microsoft Office Suite and Google)
- Strong experience with Microsoft Excel and Google Sheets; maintaining databases required
- Excellent customer service skills, professional work ethic, positive demeanor, team-oriented, and confidentiality is a must
- Must be able to perform effectively in meeting deadlines in a fast-paced environment with a high level of accuracy and detail
- Other duties as assigned by the supervisor
Evaluation:
Performance will be evaluated annually in accordance with provisions of the Board’s policy on evaluation of non-certificated personnel.
