Position Description
Essential Duties and Responsibilities
Enrollment & Withdrawal
- Register, enroll, withdraw, and monitor students daily
- Monitor NSO (new student online) and schedule parents quickly, and obtain necessary documents needed for enrollment
- Resolve demographic discrepancies between district software and the State of Texas database (unique identification-UID)
- Conduct verification of residency and enter appropriate permit codes as required
- Follow-up on dual enrollments, intent to reside, and power of attorney documents for non-compliant parents
- Verify permit codes and parents without email addresses or missing physical addresses in SIS
- Retrieve immunization records for enrollment and work with the campus nurse to ensure compliance and status
- Schedule 1-on-1 parent conferences for enrollment, including full-day appointments and accommodating working parents with unusual work patterns
- Reduce the number of students with enrollment obligations prior to the start of the new school year
- Ensure proper PEIMS coding of all newly enrolled students
- Provide entry and withdrawal comments and exit/withdrawal codes during the enrollment process
- Process all student withdrawals and maintain all leaver documentation. Research and code all withdrawal and no-show students for accountability
- Collaborate with campus special program personnel (Emergent Bilingual, Special Education, Gifted and Talented, etc...)
- Assist in verifying PEIMS data in alignment with standard procedures for all submissions and collections, and coordinate the student data integrity affirmation process with the campus Data Steward. Generate and distribute reports to staff to ensure accurate validation of the master schedule and student data within their assigned areas of responsibility
- Responsible for coding at-risk students
- Responsible for entering all high school course credit earned on the students’ Academic Achievement Records
- Follow the grading timeline to ensure all enrolled students' grades post on time for every progress report and report card. Assist teachers and the campus principal to ensure accuracy of the grade file
- Maintain all new student data in Skyward (Student Information System). Responsible for the accuracy of students' personal information, including address changes, phone number changes, legal name changes, and all other demographic changes
- Monitor data inequities to ensure data quality using software approved by the district, such as Elevate Data Quality
- Provide courteous and professional customer service by answering phone calls and responding to parent inquiries promptly, ensuring clear, accurate, and helpful communication
- Handle all returned mail processes weekly by contacting parents via phone, letter, etc., preparing mail to be sent back out, and obtaining proper documentation in order to process address changes in Skyward
- Participate in biweekly, semester, summer, and called sessions to improve and grow professionally
- Support school-based functions/duties to increase campus accountability standards
