Position Description
Essential Duties and Responsibilities
- Serve as receptionist and receive visitors; manage walk-ins and counselor appointments using positive customer service techniques
- Provide clerical support to counselors to relieve them of routine administrative tasks associated with the office (i.e. special programs, mail outs, etc)
- Ensure a smooth and efficient day-to-day operation of the counseling suite
- Manage and maintain counseling visit logs
- Request/send transcripts and student records via TREX, fax, or mail
- Establish, organize and maintain cumulative student folder and test records
- Prepare student folders/records for 5th grade and 8th grade transitions
- Supervise student office helpers
- Manage budget expenditure tasks and order office supplies and equipment
- Process public information records requests and prepare documentation and records requests for probation officers, court administrators and current or former students
- Cross-train in duties of Data Entry Clerk in order to cover in case of absence or to help in peak registration periods

- High School diploma or GED
- General office/clerical/secretarial experience
- Excellent human relation skills with the ability to professionally interact with a diverse public
- Ability to communicate in a positive and effective manner and to maintain confidentiality of sensitive student information
