Duties

  • Greet patients warmly upon arrival and assist with check-in procedures using EMR (Electronic Medical Records) systems such as Dentrix Ascend.
  • Schedule appointments efficiently using dental office management software, coordinating with clinical staff to optimize daily patient flow.
  • Verify insurance coverage and benefits.
  • Handle dental billing and collections, including processing payments and follow up on outstanding balances with attention to HIPAA compliance.
  • Manage dental records and documentation review to ensure accuracy, completeness, and adherence to health information management standards.
  • Answer multi-line phone systems professionally with excellent phone etiquette; provide exceptional patient service by addressing inquiries promptly.
  • Maintain filing systems for dental records and office documents; support administrative tasks such as data entry, typing, and document preparation using Microsoft Office tools.
  • Assist with insurance verification processes, intake procedures, and clinic experience coordination to enhance patient satisfaction.
  • Assist with patient treatment planning and case presentation.

Qualifications

  • Proven experience in a dental or medical office setting with strong knowledge of dental terminology, medical coding, and billing procedures.
  • Familiarity with EMR systems such as Dentrix Ascend or similar platforms.
  • Knowledge of HIPAA regulations and health information management practices to ensure confidentiality and compliance.
  • Excellent computer skills including proficiency in Microsoft Office Suite; ability to navigate multi-line phone systems efficiently.
  • Strong organizational skills with attention to detail in documentation review and filing processes.
  • Bilingual abilities are highly desirable to serve diverse patient populations effectively.
  • Previous clinic or dental office experience is preferred; familiarity with insurance verification, dental administrative support, and front desk operations is essential.
  • Exceptional customer service skills combined with professional phone etiquette and the ability to handle high-volume patient interactions confidently.
