What are the responsibilities and job description for the Legal Transcription Manager position at Format Services?
Format Services, LLC is looking for an experienced digital court reporting manager to lead a team of quality control formatters for legal transcriptionists. This role will help build a growing business and transform the organization from the early stages of a smart scrappy team to a mature, well organized team. The role will be responsible for the day to day management of the team of individuals and their output for customers in the legal industry including CRAs. You will be provided a support team to help you and the team be successful - including Human Resources, IT, Recruiting, and Accounting.
Responsibilities:
- Own the outputs of the team during your shift: all files passing quality requirements, individuals efficiency outputs, and order deadlines.
- Ensure the team executes on the Senior Manager’s triage plan in a timely manner. This is done through “assigning the book” to each customer’s jobs for allocated team members
- Ensure required production queue documents are updated regularly
- Act as a subject matter expert for all team members during the shift - including answering questions and providing proactive feedback
- Facilitate communication between employees and customers through Support.
- Ensure on-time delivery and passing quality standards for all customer deliverables by shifting/reprioritizing work and troubleshooting any production issues
- During non-management time, completing production work during non-shift management time. Includes final check and submission of jobs
Qualifications:
- years of experience in legal transcription and/or court reporting quality control
- 3 years of management experience
- Deep knowledge of digital reporting formatting and standards for the Legal industry
- Strong process design experience
- A demonstrated ability and desire to think and act like an owner by taking a highly proactive approach to your work.
- Proficient in Microsoft word. Knowledgeable in Excel/Google sheets
- Comfort with ambiguity and passion for solving problems
- A proven ability to get things done, manage your time, and prioritize for impact
- Demonstrated decision-making skills
- Quick thinker and fast learner. You have good intuition and an eye for the details
- Experience and comfortable working in a dynamic and rapidly changing environment
Shifts:
- Shift 3: Wednesday-Sunday OR Friday-Tuesday 8am - 5pm
During Q4, you will be provided with ongoing management training. After completing this, the above responsibilities will expand into the below future responsibilities
Future Responsibilities
- All Shift manager responsibilities outlined above plus
- Manage a team of 10-20 direct employees including Legal Transcription Proofing (Formatting) Specialists and Legal Transcription Quality Control Specialists
- Lead weekly individual weekly reviews of output and quality using data provided by Operations team
- Provide weekly coaching and feedback to employees to help them continue to refine their skills and improve across key metrics
- Collaborate with Senior Management in order to evolve processes to support customer needs and improve team output
