Title: Exempt Administrative Assistant IV - Treasurer

Reports To: Treasurer

Employment Status: Full-time

Terms of Employment: 260 days

FLSA Status: Non-Exempt

 

Qualifications: 1.  High school diploma required; Bachelor's Degree in Accounting (preferred)

2.  Minimum of three years' service in an Ohio public school district Treasurer's Office or equivalent.

3.  Experience in processing accounts payable in Ohio public school districts (preferred)

4.  Knowledgeable of department practices.

5.  Ability to be self-motivated with an attention to detail.

6.  Ability to multitask with ease and professionalism while meeting critical deadlines.

7.  Ability to keep employee, student, and client matters strictly confidential.

8.  Flexibility in meeting new assignments, multiple time demands, and a variety of unexpected circumstances.

9.  Proficient in Excel, Word, 10-key, and State of Ohio accounting software.

 

Definition:  To assist the Treasurer's Office team in the day-to-day operations of the Treasurer's Office

 

Essential Functions:

  • Work collaboratively to carry out the functions of the Treasurer's Office
  • Attend and moderate  Board of Education meetings
  • Prepare minutes of Board of Education meetings and Board Committee meetings for the approval of the Treasurer and the Board of Education
  • Submit monthly reports and other Treasurer's items to the Board agenda
  • Maintain Board of Education Member attendance records and submit semi-annual payroll
  • Work with District's third party administrator to maintain Workers' Compensation claim files, secure approval/denial of claims, and file annual reporting to the Bureau of Workers' Compensation (BWC)
  • Prepare and submit the Workers' Compensation Self-Insurance application to the Bureau of Workers' Compensation
  • Prepare and submit the Workers' Compensation excess insurance application
  • Maintain injured worker data in the District's system for reporting to District's third party workers compensation administrator and to the State of Ohio Public Employee Risk Reduction Program (PERRP)
  • Perform accounts payable functions for State and Federal Program Funds as well as the Food Service Fund
  • Process payments of verified purchase orders and verify vendors
  • Generate refund warrants for return of funds to payers
  • Post appropriations, revenue, transfers and receipts for State, Federal and Food Service Funds
  • Process project cash requests for Federal Programs in the Ohio Department of Education Comprehensive Continuous Improvement Plan (CCIP)
  • Maintain fixed asset data in the EIS system – distribute tags, add, dispose and transfer items
  • Prepare and distribute inventory reports and materials for verification and update the inventory
  • Submit fixed asset financial information to the Ohio Department of Education and for Generally Accepted Accounting Principles (GAAP) reporting
  • Assist audit team, as needed
  • Maintain a listing of records for the Treasurer's Office to identify records for disposal
  • Submit district required forms to the Ohio History Connection for approval of disposal of records
  • Coordinate district-wide pick-up and destruction of records
  • Prepare daily deposits for the Treasurer's Office
  • Maintain an adequate supply inventory
  • Handle information inquiries from district employees regarding a wide variety of issues
  • Assist other members in the Treasurer's Office as needed
  • Perform other duties as may be assigned

 

Additional Working Conditions

1. Duties are primarily performed in a standard office environment with frequent computer use and prolonged sitting;

2. Occasional travel between district buildings may be required; and

3. Ability to occasionally lift and carry up to 50 pounds.
