POSITION SUMMARY


The job of School Secretary/Receptionist is done for the purpose of providing secretarial support to school-site principal and school site personnel; types correspondence, maintains student records and files; assists the Lead Secretary as building receptionist and responds to telephone calls, provides information to school staff, parents and the community, assists with first aid and health related problems. The School Secretary reports to the principal or designee and does not supervise others.


ESSENTIAL RESPONSIBILITIES


  • Maintains
    documents, files and records (i.e.student files, etc.) for the purpose of providing up-to-date reference
  • Performs record keeping and a broad array of general and program specific clerical functions (i.e. scheduling, copying, faxing, etc.) for the purpose of supporting assigned administrator and/or site with necessary materials
  • Processes documents and materials (i.e. building mail, bulk mailings and student daily attendance) for the purpose of disseminating information to appropriate parties for action
  • Supports Lead Secretary and assigned administrative personnel for the purpose of providing assistance
  • Greets visitors (i.e. public, parents, students, substitutes, vendors, etc.) for the purpose of responding to their inquiries and/or directing them to appropriate personnel in accordance with District policies regarding building security
  • Responds to inquiries from a variety of internal and external parties by phone and/or in person (i.e. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
  • Screens inquiries of staff, students, parents, the public, etc. for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
  • Administers first aid as may be required for the purpose of providing immediate care
  • Receives deliveries, mail, supplies, messages, etc. for the purpose of disseminating materials to appropriate parties

OTHER RESPONSIBILITIES

  • Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities
  • Maintains consistent and predictable attendance to meet the requirements of the position
  • Performs other duties as assigned

MINIMUM QUALIFICATIONS

Experience: Prior job related experience paid or volunteer, preferably in schools.


Skills
: Operation of a computer, standard office machines, telephone and other technology equipment. Excellent interpersonal skills. Excellent oral and written communication, including correct use of grammar, punctuation and spelling. Excellent secretarial/clerical skills, including typing, filing, organizing and basic arithmetic calculations.


Abilities
: Work harmoniously with others. Work and communicate effectively with students, parents, and school personnel from diverse cultures or backgrounds in English, Spanish, or other languages related to the job. Work independently, without supervision, and with minimum oral/written instructions. Ability to sit and/or stand for prolonged periods, understand and carry out oral and written instructions, maintain confidentiality of student records, meet schedules and deadlines, read/interpret/apply rules, regulations and policies.


Continuing Education/Training Clearances
: Pre-employment criminal justice fingerprint clearance and criminal background check.
