POSITION SUMMARY

 

The Account Clerk is responsible for performing a variety of financial activities including processing, recording, updating and reconciling fiscal information and performing tasks associated with the records and accounts for all receivables, preparing bank reconciliations, reconciling grant accounts, and preparing billings and other reports/ reconciliations. This position reports to the Accounting Supervisor or designee. Employees in this classification do not supervise others.

 

ESSENTIAL RESPONSIBILITIES

 

  • Records and accounts for all receivables including state school funds, federal grants, property tax payments, funds from schools and other associations.  
  • Monitors account balances, receivables and related financial activity for the purpose of ensuring payments are received timely and/or fiscal practices are followed.
  • Processes invoices and billings from building use, grants, food service, and others. 
  • Reconciliation and tracking of grants to support the Accounting Supervisor.  Including working with grant managers and claiming expenditures with ODE.  
  • Performs cash management reconciliations, including weekly updates to support the District’s cash management and completion of the monthly bank reconciliations.  
  • Maintains a wide variety of fiscal information, files and records the purpose of providing an up-to-date reference and audit trail for compliance.
  • Assists other personnel for the purpose of supporting them in the completion of their work activities.

 

OTHER RESPONSIBILITIES  

  • Support and cross train with Accounts Payable.
  • Maintains consistent and predictable attendance to meet the requirements of the position.
  • Performs other duties as assigned.



MINIMUM QUALIFICATIONS

 

Education: High School diploma or equivalent.

 

Experience: Prior job related experience paid or volunteer in accounting and bookkeeping.  

 

Skills: Operate a computer and necessary finance and word processing software programs, office machines, telephone and other technology equipment. Strong Microsoft Excel and Google Sheets skills. Excellent oral and written communication and interpersonal skills. Excellent organization skills. Skills to perform basic arithmetic calculations, operate standard office equipment, use English in verbal and written form, use correct grammar, punctuation and spelling, and perform basic clerical functions.

 

Knowledge: Knowledge of accounting and bookkeeping practices; and/or completion of Accounting and Bookkeeping courses.

 

Abilities: Work harmoniously with others. Work and communicate effectively with students, parents, and school personnel from diverse cultures or backgrounds in English, Spanish, or other languages related to the job. Work independently without supervision, and with minimum oral/written instructions. Ability to sit and/or stand for prolonged periods, understand and carry out oral and written instructions, maintain confidentiality of student records, meet schedules and deadlines, read/interpret/apply rules, regulations and policies. Ability to rapidly learn methods and materials used in accounting systems. Significant physical abilities include lifting/reaching/handling, talking/hearing conversations, near/far visual acuity.

 

Continuing Education/Training Clearances: Pre-employment criminal justice fingerprint clearance and criminal background check.
