Role Description The Escrow Assistant is a full-time, on-site role based in Rancho Santa Fe, CA. This role supports escrow officers with opening, processing, and closing real estate escrow files, including preparing documents, gathering necessary information, and maintaining accurate records. Daily responsibilities include communicating with clients, agents, lenders, and internal team members to obtain required documentation and provide status updates. The Escrow Assistant will review instructions, monitor critical deadlines, coordinate signing appointments, and assist with disbursements and file balancing under supervision. The role also involves handling phone calls and emails, organizing files, ensuring compliance with company procedures, and contributing to a positive, professional client experience.
Qualifications
- Experience or strong interest in escrow and closings, including supporting real estate transactions from file opening through post-closing.
- Effective communication and customer service skills, with the ability to interact professionally with clients, agents, lenders, and team members.
- Familiarity with notary processes or a current Notary Public commission (or willingness to obtain one) is preferred.
- Strong attention to detail, organizational skills, and the ability to manage multiple files and deadlines in a fast-paced environment.
- Proficiency with standard office software and escrow/title software systems (or the ability to learn new systems quickly).
- Ability to work on-site in Rancho Santa Fe, CA, as part of a collaborative team, maintaining confidentiality and compliance with industry regulations.
