Duties
- Greet patients warmly and manage front desk operations with enthusiasm, including answering multi-line phone systems with professional phone etiquette.
- Schedule appointments efficiently using electronic medical record (EMR) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or Dentrix.
- Verify insurance coverage and benefits through insurance verification processes; handle billing and collections with accuracy using medical billing and coding knowledge including CPT, ICD-9, ICD-10 codes.
- Assist with patient intake procedures by collecting medical histories, updating records, and reviewing documentation for completeness and accuracy.
- Maintain and organize medical records in compliance with HIPAA regulations; ensure confidentiality of health information management.
- Support clinical staff by preparing exam rooms, assisting with basic clinical procedures as a CNA or Medical Assistant (MA), and managing care plans documentation.
- Process payments and perform medical collection activities to ensure timely reimbursement.
- Utilize EMR systems such as Meditech, Epic, or Athenahealth to document patient encounters thoroughly and accurately.
- Manage office supplies, filing systems (both electronic and paper), and perform clerical tasks such as typing reports, data entry (including 10 key typing), and maintaining organized files.
- Coordinate with insurance companies for claims processing, follow-up on unpaid claims, and review documentation for billing accuracy.
- Provide excellent patient service by addressing inquiries professionally while demonstrating strong office management skills in a busy clinic environment.
- Assist in dental or hospital settings if applicable, utilizing dental terminology or hospital experience to support interdisciplinary teams.
Experience
- Prior clinic or medical office experience is preferred but not mandatory; familiarity with front desk operations is highly preferred.
- Experience with insurance verification procedures and Medicare billing processes will be advantageous.
- Demonstrated clerical skills including filing, multi-line phone handling, appointment scheduling, and health information management are essential.
- Excellent customer service skills combined with professional phone etiquette are vital for success in this role.
