Position Summary:
Ford & Associates Architects, Inc. is looking for a reliable and detail-oriented Office Administrator to join our dynamic team. As an Office Administrator, you’ll support the office in a variety of administrative tasks and help keep things running smoothly for all staff.
Key Responsibilities:
- Answer phone calls, manage incoming and outgoing mail and packages, and maintain organized office filing systems.
- Provide administrative support and assist staff across various projects to ensure smooth day-to-day operations.
- Transcribe reports, memos, and other communications accurately and confidentially.
- Draft, proofread, analyze, convert, and file documents as part of comprehensive document management.
- Maintain the office calendar, schedule meetings, and track employee vacation and leave time.
- Assist with new hire onboarding and orientation to promote a positive employee experience.
- Help manage company records, including scanning, filing, and maintaining data in financial and administrative systems.
- Monitor and renew professional licenses and track continuing education requirements to ensure compliance with industry standards.

Qualifications:
· Strong organizational skills with the ability to multitask and manage competing priorities effectively.
· Excellent written and verbal communication skills, with keen attention to detail and strong proofreading abilities.
· Quick learner with the flexibility to handle a wide range of administrative tasks.
· Comfortable working independently as well as collaboratively in a team environment.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Adobe Acrobat, and other standard office software is required.
· Bachelor’s Degree in Business Administration or a related field OR a minimum of three (3) years of relevant administrative experience in lieu of a degree.
· Preferred: Experience with QuickBooks.
· Preferred: Experience in transcription.
