About the Role
The Operations Support Coordinator plays a key role in supporting onboarding and compliance, while also assisting with day-to-day office operations. This position reports to the Onboarding & Office Manager and works closely with the Contractor Support Specialist and broader Support Team to ensure a seamless experience for all new hires and internal stakeholders. This position is full-time, in our Andover, MA location, with options for a flexible, hybrid work arrangement.
This is a collaborative, detail-oriented role with exposure to onboarding, payroll, billing, and general office operations. It’s a great opportunity for someone who enjoys working across functions and contributing to a fast-paced, team-driven environment.
Responsibilities
This role is primarily focused on onboarding and office operations, with additional responsibility supporting administrative and accounting functions across the team.
Onboarding & Compliance Support
· Create, organize, and maintain new hire folders and onboarding documentation
· Initiate E-Verify and support compliance with onboarding requirements
· Schedule and conduct ID verification video calls
· Prepare onboarding checklists and documentation for payroll processing
· Ensure all onboarding records are complete, accurate, and audit-ready
· Support records retention initiatives and related compliance projects
Office & Operational Support
· Answer and direct incoming phone calls and voicemails professionally
· Coordinate welcome package preparation and distribution
· Manage office and kitchen supply inventory; place orders as needed
· Provide day-to-day administrative and operational support to the Onboarding & Office Manager, including special projects
Administrative Payroll & Billing Support
· Assist with timesheet collection and tracking
· Upload invoices to client/vendor portals
· Provide general administrative support to payroll and billing functions as needed
Qualifications
· 1–3 years of experience in administrative support, onboarding, operations, or a related field preferred
· Strong organizational skills and attention to detail
· Excellent written and verbal communication skills
· Professional phone presence and a customer-service mindset
· Ability to manage multiple priorities in a fast-paced environment
· High level of discretion when handling sensitive and confidential information
· Proficiency in Microsoft Office (Excel, Word, Outlook) and tools such as Adobe and DocuSign

Compensation & Benefits
· Salary range: $48,000 – $55,000 annually (or hourly equivalent for non-exempt employees), based on experience, skills, and qualifications
