The Project Coordinator is responsible for supporting the seamless execution of commercialization and operational activities across the organization. This role serves as a critical connection point between Project Management, Sales, Supply Chain, R&D, and external partners by coordinating surveys, panels, sample shipments, inventory management, project administration, communication, and follow-up activities. The Project Coordinator is an execution-focused role that requires strong organizational skills, attention to detail, urgency, and the ability to independently manage priorities in a fast-paced environment. This position offers significant growth opportunities within the Operations organization and provides exposure to product development, commercialization, customer programs, and cross-functional business operations.
Essential Job Functions
Project Coordination & Execution
- Own day-to-day coordination activities supporting Project Managers.
- Manage surveys, panels, sample shipments, inventory tracking, project follow-ups, and communication workflows.
- Maintain visibility across multiple concurrent priorities while balancing structured planning with rapidly changing business needs.
- Reprioritize tasks as necessary to support evolving project requirements and customer demands.
- Communicate project status, risks, constraints, and deadlines proactively to stakeholders.
- Support project documentation, trackers, meeting recaps, and action item follow-up activities.
- Actively manage workload and timelines to ensure projects continue moving forward.
Sample & Inventory Management
- Receive, document, organize, and maintain all inbound product samples.
- Ensure proper cold chain management and sample integrity throughout storage and handling processes.
- Photograph, temperature check, log, and store samples according to company procedures.
- Prepare and coordinate outbound shipments utilizing FedEx, UPS, and other approved carriers.
- Maintain accurate, real-time inventory records and provide weekly inventory reporting.
- Recommend sample disposition and inventory management actions when appropriate.
- Conduct first production case reviews, including documentation of weights, measurements, images, and assembly specifications.
- Assist in maintaining sample storage areas, freezers, and inventory systems.
Cross-Functional Coordination
- Partner with Project Management, Sales, Supply Chain, R&D, and external suppliers to support project execution.
- Coordinate meetings and ensure action items are tracked through completion.
- Maintain sample request calendars and submission schedules for internal stakeholders.
- Facilitate timely communication regarding sample status, surveys, panels, project updates, and next steps.
- Support operational workflows necessary to keep projects moving according to schedule.
- Help ensure alignment across departments by providing accurate and timely information.
Panels, Surveys & Field Support
- Coordinate internal product evaluations, tasting panels, and survey activities.
- Prepare materials, support execution, and manage post-panel cleanup and organization.
- Compile findings and survey results into clear, concise summaries that support decision-making.
- Conduct store walks, competitive reviews, and market surveys as required.
- Capture images, observations, and insights from field activities.
- Support merchandising and customer requests as business needs require.
Operational Reliability
- Maintain organized, safe, and food-safe workspaces and storage areas.
- Track monthly and annual shipping expenses and assist with budget visibility.
- Maintain adequate inventory of shipping and office supplies.
- Support essential office and operational activities that improve team productivity.
- Serve as a reliable resource for administrative and operational support functions.
- Demonstrate ownership, accountability, and follow-through on assigned responsibilities.
Team Collaboration & Development
- Collaborate effectively with Project Managers, Supply Chain, Sales, R&D, and Operations teams.
- Support multiple brands, customers, and programs as business needs require.
- Contribute to a culture of teamwork, accountability, urgency, and continuous improvement.
- Identify opportunities to improve processes, workflows, and operational efficiency.
- Actively participate in training and development opportunities to expand capabilities and career growth.

Knowledge, Skills, and Abilities
- Preferred experience in a Project Coordinator, Operations Coordinator, Administrative Coordinator, or similar role.
- Highly organized with strong attention to detail.
- Strong sense of urgency and ability to execute with speed and accuracy.
- Ability to work independently while remaining highly collaborative.
- Excellent time management and prioritization skills.
- Confident communicator who asks questions when clarification is needed.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office Suite, including Excel, PowerPoint, Word, Outlook, Teams, and SharePoint.
- Experience with Asana or similar project management software preferred.
- Positive attitude, strong work ethic, and willingness to support team objectives.
- Self-motivated with a desire to learn, grow, and advance within the organization.
