What are the responsibilities and job description for the Program Assistant position at Fond du Lac Reservation?
- Responsibilities: Answer telephone and coordinate calls.
- Due to changes and modifications in the job from time to time, employees are required to be flexible and assume other responsibilities assigned by management as deemed necessary.
Take messages and route appropriate information.
Pick up mail daily from mail room, sort, and route mail.
Receive the public in a professional courteous manner.
Creates, types, and mails out routine envelopes and correspondence.
Prepares and maintains all student files with diligence and accuracy.
Copies and mails appropriate information to families, students, and higher education institutions.
Familiarize oneself with the basic intent of the Federal and State Data Privacy Act of 1974 and how it applies to the goals and objectives of the Fond du Lac Scholarship Program.
Works closely with student support staff at various post-secondary schools in and out of state.
Arrange attendance for Fond du Lac Scholarship staff representation at college, career, and job fairs. This includes the preparation of all materials to be distributed.
Arrange travel schedule, including air and hotel reservations for Scholarship Director. and staff as needed.
Assists the Scholarship Director with annual statistical reports and archiving of records.
Prepares purchase orders for office supplies and maintains records for payment. Monitors equipment, supplies, and repair activities.
Ensures confidentiality with all clients with absolutely no infractions.
Displays a responsive and professional manner in promptly responding to all requests, complaints, and problems.
Recognizes that each employee is a representative of the Fond du Lac Band of Lake Superior Chippewa and is responsible for demonstrating courtesy, respect, and sensitivity to the needs of all others, including visitors and co-workers.
Represents the Fond du Lac Band of Lake Superior Chippewa and the department in a positive and professional manner in the community.
Required to maintain proper attendance including reporting to work on time in accordance with applicable policies.
Maintains a clean and organized work area.
AA, AS or AAS Degree; 3 years secretarial/administrative office experience; or a combination of education and experience is required.
Experience working in or with post-secondary schools in the area of Admissions, Financial Aid, or Academic Advising is desired.
Knowledge of computer applications to include work processing, data entry and databases, spreadsheets, and Microsoft Outlook is required.
Ability to operate various office equipment is required.
Ability to keep accurate records is required.
Ability to communicate effectively orally and in writing is required.
Ability to work independently and establish priorities is required.
Attention to detail and accuracy is required.
Ability to establish professional and harmonious working relationships on all projects and with all parties involved.
Subject to drug and alcohol testing in accordance with the Fond du Lac Reservation’s Personnel Policies.
Subject to pre-employment and annual background checks.
Travel may be required.
