Administrative Assistant – Warehouse

Position Summary
We are seeking a proactive and organized Administrative Assistant to support warehouse operations and office functions. This role will provide essential administrative support, ensure smooth day-to-day operations, and help maintain efficient workflows within the warehouse. The ideal candidate is highly organized, detail-oriented, and able to manage sensitive information with discretion.
Key Responsibilities
- Provide administrative support to the Warehouse General Manager and staff, including managing the GM’s calendar and email.
- Prepare, organize, and maintain documents, reports, and records.
- Assist with scheduling, communications, and coordination of warehouse activities.
- Communicate with vendors, team members, and other departments as needed.
- Responsible for ordering office and warehouse supplies as needed.
- Plan and coordinate warehouse events.
- Request and collect quotes from vendors for services or supplies.
- Analyze vendor quotes and operational costs to identify potential cost savings.
- Assist with onboarding, training, and coordination for new hires.
- Ensure office and warehouse are in operational compliance with company policies and procedures.
- Coordinate time and attendance tracking for warehouse staff.
- Manage incident reporting and serve as point of contact with the Nurse Navigator.
- Serve as HR Captain for the warehouse, handling HR-related documentation, communication, and coordination.
- Assist HR with OSHA reporting and compliance.
- Handle ad hoc tasks to support warehouse operations.
Qualifications
- Previous administrative experience required.
- Prior warehouse experience preferred.
- Previous experience in an eCommerce warehouse or distribution center is a plus.
- Previous experience with ADP is a plus.
- Strong organizational and multitasking skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong written and verbal communication skills.
- Ability to maintain a high level of discretion and confidentiality, particularly with HR-related matters.
- Ability to work both independently and collaboratively in a fast-paced environment.
- Detail-oriented, reliable, and proactive problem solver.
- Bilingual in Spanish and English strongly preferred.
