FlyUSA
Clearwater, FL Full Time
POSTED ON 7/23/2026
AVAILABLE BEFORE 1/18/2027
About FlyUSA
FlyUSA is a rapidly growing private aviation company delivering premium charter, aircraft management, and aviation services. We have been noted as the fastest growing private aviation firm in the country for the past two years. We are building a high-performance finance organization to support our expansion and ensure operational excellence.

Position Overview
The Senior Accountant is a critical member of FlyUSA's finance and accounting team, sitting at the intersection of charter accounting, FBO accounting, accounts payable, and corporate financial controls. Reporting to the Corporate Controller, this role owns the day-to-day accounting for Off-Fleet Charter operations and FBO activities — including invoicing, wire processing, FET compliance, company-wide procure-to-pay, and all corporate-related matters. This position directly supervises one Accountant, providing day-to-day guidance, review, and development. This is a high-visibility role on a fast-paced team where accuracy, ownership, and initiative are essential.

Key Responsibilities
Corporate Accounting
  • Prepare and post monthly corporate journal entries — accruals, prepaid amortization, intercompany entries, and recurring adjustments
  • Perform corporate balance sheet account reconciliations and maintain supporting schedules
  • Support the month-end and year-end close process, including preparation of close workpapers
  • Assist with intercompany accounting across FlyUSA operating entities, ensuring eliminations are accurate
  • Support external audit and tax preparation by organizing and delivering requested schedules and documentation
  • Assist in maintaining and improving accounting policies, procedures, and internal controls in coordination with the Controller
Charter & Revenue Accounting
  • Own Off-Fleet Charter revenue accounting — bookings, net charter margin, and broker reconciliation
  • Review and issue systematically prepared Off-Fleet Charter invoices to customers on a per-trip basis
  • Manage the commission register — calculation, disbursement tracking, and monthly reconciliation
  • Ensure Federal Excise Tax (FET) compliance — prepare and file quarterly FET returns on all domestic charter revenue
  • Own the charter trip close-out process — document collection, cost coding, and close-out accuracy
  • Lead month-end close for the Charter segment, including journal entries and supporting schedules
FBO Accounting
  • Record FBO revenue entries — fueling, hangar, parking, and ground services
  • Support FBO joint venture (JV) accounting, including reconciliation of JV-related transactions
  • Coordinate with the Corporate Controller on FBO close and consolidation entries
Accounts Payable (AP) — All Segments
  • Process vendor invoices across all business segments — MRO parts, fuel, crew expenses, hangar, ground handling, and third-party service providers
  • Maintain vendor records — setup, coding, and payment terms in Microsoft Business Central
  • Prepare and submit the weekly AP check run and ACH batch for Controller approval
  • Monitor AP aging and manage vendor payment schedules to maintain strong vendor relationships
  • Respond to vendor inquiries and resolve invoice discrepancies in a timely manner
  • Support month-end AP cutoff — ensure all invoices are posted or accrued appropriately
Cash & Disbursement Workflow
  • Review all charter outbound wires and ACH payments for Corporate Controller approval
  • Maintain discipline in the prepare → review → approve disbursement control chain
  • Oversee expense reporting (RAMP) — ensure accurate allocation, policy adherence, and coding by segment and cost center
  • Manage credit card program oversight — policy adherence, coding accuracy, and monthly reconciliation
Reconciliations & Controls
  • Perform various balance sheet account reconciliations — charter, FBO, AP, and commission-related accounts
  • Maintain charter AR aging and coordinate with the charter team on collections; weekly review of unpaid trips with follow-up
  • Support the month-end close calendar and ensure assigned deliverables are completed on time
  • Assist in identifying and documenting process improvements within charter, FBO, AP, and corporate accounting workflows
Team Leadership
  • Directly supervise one Accountant (Corporate Charter & FBO Accounting) — provide day-to-day guidance, review output, and support professional development
  • Assign and prioritize work across the close cycle to ensure timely and accurate deliverables
  • Serve as a subject matter resource for charter accounting, FET compliance, and AP processes
Success in First 6–12 Months
  • Establish ownership of the charter and FBO close process with clear timelines, accountability, and a documented close checklist
  • Achieve full command of FET compliance — quarterly filings on time, accurate, and fully documented
  • Stabilize and improve the AP workflow across all segments — vendor payments on schedule, aging clean, and month-end cutoff disciplined
  • Build a strong working relationship with the charter operations and sales teams to ensure trip close-outs are timely and invoicing is accurate
  • Develop and mentor the Corporate Charter & FBO Accountant, ensuring clear role clarity and growing capability
  • Support the Corporate Controller in delivering a clean year-end close and any audit or tax preparation requirements
Qualifications
  • Bachelor’s degree in Accounting, Finance, or a related field
  • 5-7 years of accounting experience, with exposure to revenue accounting, reconciliations, and month-end close
  • Proven experience in a multi-segment or multi-entity accounting environment
  • Strong attention to detail and ability to manage multiple deadlines in a fast-moving environment
  • Proficiency in accounting software (Microsoft Business Central or similar ERP)
  • Solid understanding and prior experiences utilizing AI in daily work flows
  • Strong communication skills — ability to work cross-functionally with operations, sales, and leadership teams
  • Experience in aviation, transportation, or a high-transaction-volume industry preferred
  • Familiarity with Federal Excise Tax (FET) compliance on charter revenue preferred
  • Experience with commission accounting or broker-model revenue recognition preferred
  • Exposure to Part 91 / Part 135 operations or aircraft management accounting a plus
  • Experience with RAMP, Power BI, or similar expense and reporting platforms a plus
