We are seeking a highly organized, dependable, and proactive Office Operations Manager to oversee the day-to-day administrative operations of our office. This is an in-office, hands-on role that combines office management, administrative support, employee coordination, and front-office responsibilities.
The ideal candidate enjoys wearing multiple hats, takes ownership of problems, pays close attention to detail, and is comfortable shifting between administrative projects, executive leadership needs, and the everyday demands of a busy office.
Key Responsibilities Office & Administrative Operations
- Manage the day-to-day administrative operations of the company.
- Serve as the primary point of contact for general office needs and administrative questions.
- Maintain office supplies, equipment, and other resources necessary for daily operations.
- Coordinate with building management, vendors, service providers, and other outside partners.
- Manage incoming mail, packages, deliveries, and general correspondence.
- Maintain organized electronic and physical company records.
- Assist leadership with administrative projects, document preparation, scheduling, and other operational needs.
- Identify opportunities to improve administrative processes and office efficiency.
- Help ensure company policies, procedures, and administrative processes are consistently followed.
Employee & Payroll Administration
- Provide administrative support for payroll processing and help ensure information is submitted accurately and on time.
- Maintain employee records and coordinate updates such as new hires, terminations, compensation changes, and other employee information.
- Support employee onboarding and offboarding, including paperwork and internal coordination.
- Maintain PTO and other applicable employee records.
- Assist employees with routine administrative questions and direct more complex payroll, benefits, or HR questions to the appropriate resource.
- Coordinate with outside payroll, benefits, accounting, and HR providers as needed.
- Maintain confidentiality of employee, compensation, and company information.
Front Office & Reception
- Serve as the primary point of contact for visitors and guests.
- Answer and route incoming telephone calls and general inquiries.
- Maintain a professional and welcoming office environment.
- Coordinate conference rooms, meetings, and visitor needs.
- Assist with company meetings, lunches, events, and other office activities.
General Business Support
- Provide administrative support to company leadership and other departments as needed.
- Assist with expense reports, invoices, vendor documentation, and other basic business administration.
- Prepare documents, reports, spreadsheets, presentations, and correspondence.
- Coordinate calendars, meetings, and internal communications as needed.
- Help coordinate company events and employee activities.
- Take ownership of miscellaneous administrative projects and operational issues as they arise.
- Maintain the company social media pages by creating and posting content on a regular and consistent basis
Qualifications
- 3 years of experience in office management, administrative operations, executive administration, or a similar role.
- Ability to reliably commute to our Framingham, MA office every day.
- Previous exposure to payroll, employee administration, or HR processes.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple responsibilities and changing priorities.
- Strong written and verbal communication skills.
- Professional and comfortable interacting with employees, visitors, vendors, and senior leadership.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams.
- Ability to learn new systems and administrative processes quickly.
- Ability to handle confidential and sensitive information with discretion.
- Self-directed and comfortable taking ownership of responsibilities with limited supervision.
