Fluidity Design Consultants is a leading edge, Los Angeles-based water feature design and engineering firm with an international practice. The firm collaborates with many of the world’s most respected architects, landscape architects, and developers in the realization of site-specific, creative and technically refined water features.
Fluidity seeks a Studio Coordinator to provide executive support, studio reception, scheduling and book keeping support. This position requires high attention to detail and a flexible and professional attitude. You will be responsible for answering phones, greeting guests, keeping studio calendars up to date and coordinating meetings. Willingness to take personal responsibility and pride in a job well done is essential. Studio hours are 9:00am –6:00 PM, but after-hours work is occasionally required.
The Studio Coordinator will also be responsible for supporting and managing all aspects of the President’s day-to-day and long-term work flow. Additional responsibilities include hosting guests to the design studio, creating expense reports, and ensuring that the President has regular updates and adequate time for his responsibilities. This will all need to be coordinated with ongoing studio activity that can be complicated and dynamic, but is always friendly.
With support and direction from the Studio Manager, you will also assist with travel arrangements as needed, maintaining professional licenses and organization membership, keeping travel documents up to date, and event planning.
Required Skills:
· Microsoft Office (Word, Excel) & Adobe Acrobat
· Google calendar, iCal & Mac Mail (plus understanding of mobile device integration)
· Excellent verbal and written communication skills
· Professional phone manner and ability to handle busy phones while multi-tasking
· Understanding of Web based communications such as Zoom and Slack
· Understanding of travel booking procedures & requirements
· Understanding of basic bookkeeping principals & ability to create expense reports from templates
· Interest in personal growth. Maintaining a positive, constructive attitude
Responsibilities:
· Answering phones and emails with high professional decorum
· Keeping the company president’s personal calendar and coordinating all meetings with studio calendar
· Creating daily task list for the company President & managing his daily schedule
· Making sure that the studio is kept tidy and that basic housekeeping procedures are met
· Ordering supplies & keeping supply cabinets neat
· Arranging for deliveries/shipping (FedEx, UPS, etc)
· Creating travel expense reports and other expense tracking support, as needed
· Running studio errands
· Coordinating and booking travel for all members of the studio (Domestic & International)
Requirements: Bachelor’s Degree, 0-2 years of professional experience
Salary: 40K-50K, commensurate with experience
