Responsibilities
Accounting & Procurement Administrative Tasks:
· Answer and manage the main phone line.
· Perform receptionist duties, including handling solicitors and receiving deliveries.
· Process incoming and outgoing mail, maintain filing systems, and scan documents.
· Manage bank deposits and research client purchase histories.
· Handle procurement tasks, including creating quotes, placing orders, and monitoring the ticket system.
· Assist with Return Merchandise Authorizations (RMAs) and hardware support renewals.
· Register and apply support contracts for purchases and document all procurement activities.
· Manage vendor relationships, including discussions, meetings, and invoice approvals.
· Create and maintain inventory spreadsheets and assist with monthly reporting.
· Coordinate team events and handle general administrative tasks as needed.
IT Services Administrative Tasks:
· Respond to client procurement requests and vendor software license reporting.
· Utilize vendor portals to assign and distribute licenses for customers.
· Maintain accurate and up-to-date records related to IT service administration.
Office Administrative Responsibilities:
· Monitor and maintain office supplies, ensuring stock levels are adequate to meet team needs.
· Manage break room supplies and replenish snacks, beverages, and other essentials regularly.
· Coordinate store runs for office necessities as needed.
· Organize and maintain the cleanliness and functionality of common areas, including the break room and office supply areas.
· Handle lunch orders for meetings or team events when required.
Human Resources Responsibilities
· Support recruitment efforts, including job postings, coordinating interviews, and candidate communication.
· Assist with new hire onboarding, including preparing documentation, coordinating orientation, and setting up employee files.
· Maintain and update employee records in compliance with company policies and applicable labor laws.
· Track and manage employee attendance, PTO requests, and timekeeping systems.
· Coordinate with leadership or external providers on payroll processing and benefits administration.
· Serve as a point of contact for employee inquiries regarding policies, benefits, and workplace procedures.
· Help implement and maintain HR policies, procedures, and employee handbook updates.
· Support employee engagement initiatives, including team-building events and internal communications.
· Assist in handling employee relations matters, escalating sensitive issues as appropriate.
· Ensure compliance with workplace regulations (posters, documentation, basic labor law requirements).
Requirements
· Knowledge of human resources procedures including onboarding, training & development programs.
· Proven experience in office management or administrative roles
· Excellent organizational skills with keen attention to detail and ability to multitask efficiently in a fast-paced environment.
· Ability to work independently and demonstrate accountability.
