Summary
We are seeking a highly motivated and dependable Material Coordinator to manage the end-to-end purchasing and inventory lifecycle. The ideal candidate will be a flexible team player responsible for maintaining optimal stock levels, processing purchase orders accurately in our ERP system, and coordinating seamless communication between vendors, warehouse staff, and internal teams to ensure timely deliveries.
Responsibilities
- Maintaining accurate & timely purchase order processing using ERP system report.
- Fulfilment includes stock, direct shipment, & service orders
- Monitoring stock levels and reorder merchandise to ensure proper levels are maintained.
- Working with Operations Manager to edit stock levels quarterly/as needed.
- Working with Support Team to meet required deliveries.
- Serve as primary FFP contact order status questions.
- Managing purchase orders, overseeing shipping schedules and maintaining purchase records
- Runs open purchase order report and maintains accurate receiving dates in ERP system.
- Working with warehouse staff to compare deliveries with purchase orders to identify discrepancies.
- Communicating special requirements about incoming shipments
- Creating FFP labels for materials
- Maintaining cordial working relationships with vendors & supervising vendor activities
- Maintaining cordial working relationships with Inside & Outside Team to ensure deliveries are met.
- Creating new vendor accounts in ERP system
- Including communicating with vendor & AP team to ensure accuracy.
- Arranging LTL/SPECIAL shipment pertaining to Service/Repair projects
- UPS/FedEx Entry Cross-training
- Processing intercompany transfers
- Liaison for freight discrepancy issues
- Warranty issues, short shipments, etc.
- Ordering products for use within facility
- Office, warehouse, etc.
- Running cycle-counts for inventory reconciliation once a month
- Reconcile and post monthly working with Operations Manager
- Backup full time Warehouse position when that person is overloaded or on PTO.
- Prophet 21 or Epicor experience preferred.
- Highly flexible, team player, motivated, dependable
