JOB SUMMARY:
This position is responsible for assisting the Municipal Court Administrator and the Assistant Municipal Court Administrator in all clerical, cash collections, and administrative aspects of Municipal Court. Provides assistance to the public, defendants, attorneys and internal customers regarding court dates, scheduled times, fines, pleas and other information as requested
KNOWLEDGE, SKILLS AND ABILITIES:
- Basic knowledge of the practices and procedures involved in law enforcement record keeping and confidentiality.
- Basic knowledge of City rules and regulations, including policies and procedures, applicable state and federal laws, relevant city ordinances, G.C.I.C. & N.C.I.C. (CJIS Network) regulations, and public information and privacy acts.
- Basic knowledge of Municipal Court procedures and processes.
- Basic knowledge of probation company procedures pertaining to probation sentences and basic knowledge of procedures for warrants issued by Probation Company and the collection of same.
- Basic knowledge of the types of warrants issued by Municipal Court and the associated fines and procedures.
- Skill in operating office equipment such as computer, printer, copier, fax, electronic cash register, credit/debit card terminal, and calculator.
- Skill in oral communication and more specific emphasis on interpersonal relations with co-workers, all law enforcement agencies, booking and records jail staff, city probation company staff, and all customers.
- Requires a high degree of customer service skills in handling all types of customers with the ability to quickly resolve potential conflict situations tactfully, courteously, and effectively.
- Ability to work well in a high-pressure, multi-tasked environment with frequent interruptions and to redirect focus of attention to a task after an interruption.
- Ability to establish and maintain positive working relationships with those contacted in the course of work.
- The ability to perform basic mathematical computations commonly associated with clerical accounting procedures.
- Skill in using Microsoft Office applications.
- Ability to learn department technology systems (InCode court software and MUNIS software) and learn new systems as they are added.
MINIMUM QUALIFICATIONS:
- Must possess a high school diploma/GED Equivalent with a minimum of two years’ experience performing office operations and routine bookkeeping tasks.
- Must successfully complete the G.C.I.C. CJIS Security and Awareness Training within 60 days of employment/transfer/reassignment and maintain certification annually.
- Must already possess or obtain National Incident Management Systems (NIMS) 100 and 700 within three (3) months of employment.
- Bilingual preferred.
- Must possess and maintain a valid driver’s license.
