Performance competencies & responsibilities:
Construction & project management support
· Proficient in MS 365, ProCore and other technology for keeping track of job progress and effective communication (FCC and Subcontractors)
· Subject matter expert for project and office administration software: Dropbox, DocuSign, ADP, ProCore etc.
· Demonstrate understanding of government contracts and processes
- Attend and document all necessary Job Progress meetings
Project Documentation & Compliance Management
- Submittals & RFIs: Formally process, log, and track Requests for Information (RFIs) and equipment submittals (e.g., HVAC units, switchgear, piping materials) between field crews, engineers, and general contractors.
- Closeout Packages: Assemble final Operation & Maintenance (O&M) manuals, warranty documentation, and as-built drawings for project handover.
· Subcontracts: Prepare subcontract agreements, track insurance certificates, verify licensing requirements, and ensure all compliance documents are current
- Purchase Orders (POs): Generate, issue, and track purchase orders for raw materials, conduit, piping, and fixtures based on project estimator takeoffs.
- Change Orders: Maintain the master change order log, ensuring all field-directed work is documented and submitted for approval.
· Job Cost: Ability to support Project Management team with job cost reporting interpretation
· Payment Applications: support project managers with review, coding, and organization
Communication
- Receive and follow instructions and communicate with co-workers, supervisors and subcontractors
· Provide clear verbal and written communication regarding all job-related work
· Active listening/comprehension to effectively respond to job-related scenarios (FCC & Subcontractors)
· Serve as a central point of contact for administrative project questions, document requests, and updates
· Communicates proactively with project teams and vendors to keep deliverables on schedule and resolve issues before they escalate
· Monitor upcoming projects for bid and inform Project Management team
Time & task management
- Stay on task when working on projects with or without supervision
- Complete assigned tasks with accuracy and efficiency by or before deadlines given
- Manages daily and weekly workflows efficiently through structured planning, organized documentation, and proactive deadline tracking
- Actively seeks out missing information from subcontractors, vendors, and internal teams to keep items moving
- Stays ahead of critical tasks by scheduling reminders, preparing documents early, and resolving issues before they escalate
Health & Safety expertise
- Complete OSHA 10 Certification
- Understand Occupational Safety and Health Administration (OSHA) standards
- Understand Interim Life Safety Measures (ILSM)
Other job-related duties as assigned
Job Requirements:
· 3-5 years of administrative experience within the construction industry
- Prior experience in a private construction company ($20MM–$100MM range ideal)
· Basic ability to navigate and read construction drawings, spec books, and submittal sheets is highly preferred.
· Exceptional written and verbal communication skills; comfortable interacting with field foremen, union stewards, vendors, and corporate executives alike.
- Strong attention to detail
- Proficiency with construction project management software (e.g., Procore, Bluebeam, etc.)
- High organizational aptitude necessary to manage \ moving documents across multiple concurrent fast-tracked projects.
- Strong Microsoft Excel skills (pivot tables, VLOOKUP/XLOOKUP, etc.)
- Experience supporting multiple active jobs and partnering with Project Managers/field teams
- Strong organizational skills with the ability to maintain audit ready‑ documentation
