Overview
We are seeking a dynamic, organized, and friendly Office Assistant to join our team and help keep our daily operations running smoothly. As the first point of contact for visitors and callers, you will represent our company with professionalism while handling administrative tasks with accuracy and care.
The ideal candidate will be proactive, self-motivated, and creative, with a strong ability to organize files, manage paperwork, and keep the business owner on track with daily priorities. Responsibilities include maintaining in-house filing systems, organizing office records, and supporting overall office operations.
This position also plays a key role in business development, including advertising on Facebook and other social media platforms, making outreach calls, and assisting with marketing efforts to help grow our residential and commercial cleaning business.
This is a flexible hybrid role, with some work performed in the office and much of the work completed from home. If you enjoy multitasking, taking initiative, and contributing ideas in a growing business, we would love to have you on our team.
Duties
- Greet visitors professionally at the front desk, providing excellent customer service and ensuring a positive first impression
- Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
- Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy
- Assist with calendar management and scheduling appointments or meetings using Google Workspace or Microsoft Office tools
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Provide administrative support including copying, scanning, faxing, and preparing correspondence or reports
- Maintain a clean, organized front desk area and ensure all office equipment is functioning properly
Experience
- Prior office experience or administrative experience demonstrating strong organizational skills and multitasking ability
- Proficiency in computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills
- Experience with multi-line phone systems, customer service, and phone etiquette in a professional setting
- Bilingual abilities are highly desirable to assist diverse clients and team members effectively
- Knowledge of clerical tasks such as filing, proofreading, calendar management, and record keeping
- Personal assistant or medical/dental receptionist experience is a plus for understanding specialized office environments
- Strong time management skills with the ability to prioritize tasks efficiently
