Role overview
We are looking for a detail-oriented, process-driven Assistant Property Manager/Leasing Agent to join our team. This role is the operational backbone of our leasing and tenancy management process — you will own everything from application through move-out, working closely with our leasing staff, Property Manager, and virtual assistants to keep the portfolio running smoothly.
Our leasing staff handles top-of-funnel activity: inquiries, lead follow-up, and showing coordination. You pick up the process at the showing stage and carry it through to move-in — and then continue to own the tenant relationship through renewals, compliance, inspections, and move-out. You will report directly to our Property Manager. This role requires Saturday availability during peak leasing season.

Key responsibilities
Leasing — application through move-in
- Process rental applications and conduct background, credit, and rental history screening
- Communicate screening decisions to applicants and leasing staff
- Prepare lease agreements using NAA lease templates
- Coordinate move-in logistics including lease execution, key handoff, and move-in documentation
- Work closely with leasing staff throughout the process to ensure a smooth handoff from showing to signed lease
Tenancy management
- Conduct move-in and move-out property inspections with written documentation
- Perform routine property inspections and report findings to the Property Manager
- Issue lease violation notices and follow up on compliance
- Manage renter’s insurance compliance tracking across the portfolio
- Coordinate the move-out process including security deposit disposition
- Handle lease renewal outreach, documentation, and addenda in coordination with the Property Manager
- Assist with eviction process initiation and handoff to the company’s attorney
- After-hours response for tenant lockouts
Administration
- Maintain NAA lease templates and ensure documents are current and compliant
- Support the Property Manager with communication and reporting as needed
- Coordinate with virtual assistants on administrative tasks, document preparation, and tenant follow-up
Qualifications Required
- 1 years of experience in property management, residential leasing, or a related field
- Strong written and verbal communication skills
- Highly organized with the ability to manage multiple open tasks simultaneously
- Comfortable with technology — property management software, Google Workspace, and standard office tools
- Valid driver’s license and reliable transportation
- Availability to work Saturdays during peak leasing season
Preferred
- Experience processing residential rental applications and conducting tenant screening
- Familiarity with NAA lease agreements
- Prior experience with property management software (Rent Manager, Buildium, AppFolio, or similar)
- Experience working in Kentucky or Ohio rental markets
Compensation & benefits
Salary starting at $45,000 with bonus incentives built in when meeting leasing renewal metrics.
