Flow Pilates is a boutique, reformer-based Pilates studio in the heart of Chapel Hill, dedicated to fostering a welcoming community and helping clients achieve their mind-body health goals. We are seeking a highly motivated and self-driven Studio Manager to become the cornerstone of our operations, ensuring a seamless experience for our clients and driving sustainable growth.

This is a key leadership role for a proactive individual who loves building relationships and managing all facets of a successful studio.


Position Overview

As the Studio Manager, you will be the operational, administrative, and team leader of the studio. You will be responsible for everything from driving sales, managing client relationships, and handling administrative duties to overseeing the day-to-day management of our front desk associates and instructors. The ideal candidate is exceptionally organized, has a passion for wellness, and possesses a strong sales, leadership, and customer-service mindset.


Key Responsibilities

1. Team Leadership & Management

  • Oversee day-to-day management of front desk staff and Pilates instructors, supporting performance, communication, scheduling, and operational consistency.
  • Support the onboarding and ongoing professional development of all team members.
  • Manage all staff scheduling, shift coverage, payroll coordination, and the maintenance of operational standards.
  • Serve as the primary point of contact for day-to-day staff questions, team performance, and operational concerns.


2. Sales, Client Experience & Lead Management

  • Serve as the primary point of contact for all new leads, promptly following up on marketing inquiries via phone and email.
  • Proactively manage the entire sales cycle from calling new prospects and conducting studio tours to closing new membership agreements.
  • Maintain CRM systems and ensure timely follow-up on all leads while tracking lead activity, conversion metrics, and sales opportunities.
  • Implement and refine lead nurture campaigns through calls, texts, and email communication.
  • Create exceptional client experiences that foster long-term loyalty and community engagement.
  • Identify at-risk members and implement retention strategies, overseeing all membership renewals to ensure high retention rates.
  • Manage client feedback and continuously improve the member experience, resolving any client issues with professionalism and care.


3. Studio Administration & Operations

  • Oversee daily studio operations, including front desk procedures, scheduling systems, instructor coordination, client communications, and operational workflows.
  • Manage memberships, package sales, billing inquiries, payment processing, account maintenance, and membership retention efforts.
  • Oversee all studio assets and services, ensuring equipment (reformers, etc.) is well-maintained, the studio laptop is functional, and cleaning services are performing.
  • Manage inventory and coordinate with suppliers for all studio needs, including office supplies, retail, and professional services.


4. Reporting & KPI Ownership

  • Analyze studio performance data including revenue, attendance, lead conversion, retention, and membership growth trends to support strategic decision-making.
  • Monitor and drive key studio performance metrics including memberships, package sales, lead conversion rates, retention, utilization, and monthly revenue goals.
  • Develop and implement strategies to increase membership growth and improve client retention.
  • Prepare and send regular recurrence reports (e.g., recurring membership revenue, client retention, and attendance).
  • Participate in weekly video meetings with the owner to discuss studio performance, sales goals, and strategic planning.


5. Business Development, Growth & Event Management

  • Execute studio sales initiatives and membership growth strategies.
  • Develop and maintain relationships with local businesses, healthcare providers, wellness practitioners, and community organizations to cultivate referrals.
  • Coordinate partnership promotions, referral programs, studio events, workshops, open houses, and community outreach initiatives to increase brand awareness.
  • Collaborate with ownership to support marketing campaigns and promotional activities.
  • Identify opportunities to improve studio profitability and operational efficiency.

  • Self-Driven & Proactive: You are a natural problem-solver who takes initiative and can work independently without constant oversight.
  • Sales-Oriented: You are comfortable and confident in a sales-driven role, motivated by achieving targets and earning bonuses.
  • Exceptional Organizer: You thrive on managing multiple priorities at once, from spreadsheets and schedules to client conversations.
  • Strong Communicator: You have excellent verbal and written communication skills, whether you're welcoming a new client, guiding your team, or negotiating with a supplier.
  • Tech-Savvy: You are proficient with computers and can quickly learn our studio management software (e.g., Mindbody, Glofox, or similar) and CRM systems.
  • Passionate about Wellness: A background in or passion for Pilates, fitness, or the wellness industry is a major plus.

Compensation

  • This position offers a competitive base salary commensurate with experience.
  • You will also earn sales bonuses tied to new membership sales, KPI targets, and overall studio growth.
