OFFICE ADMINISTRATOR / SCHEDULING COORDINATOR

Flory Custom Woodworking designs, builds, finishes, and installs high-end custom cabinetry for residential clients throughout the region. We're looking for an organized, detail-oriented Office Administrator / Scheduling Coordinator to become the communication hub of our company.
This role helps keep projects moving by coordinating schedules, supporting customers and vendors, managing office systems, and ensuring information flows smoothly between the office, shop, and field.
WHAT YOU'LL DO
Project Scheduling & Coordination
- Manage production and installation schedules in Asana
- Coordinate timelines between design, production, and installation teams
- Proactively communicate schedule updates to customers and vendors
- Help identify and resolve scheduling conflicts before they impact projects
Customer & Vendor Communication
- Serve as the first point of contact for customer and vendor inquiries
- Route information to the appropriate team member and follow through
- Maintain professional, responsive communication at all times
Office Administration
- Maintain digital and physical job files
- Process incoming and outgoing mail, deliveries, and documentation
- Keep permits, forms, and compliance records organized and current
Purchasing & Inventory Support
- Order materials and track deliveries
- Maintain vendor relationships and pricing information
- Assist with purchasing decisions within established budgets
Payroll & Administrative Support
- Track employees hours and assist with payroll preparation
- Support onboarding paperwork and HR compliance requirements
- Enter job costing and accounts payable information accurately
Technology & Process Improvement
- Maintain Kanban, Asana, and Kaizenify systems
- Help implement new software and workflows
- Look for opportunities to improve efficiency and organization
WHAT WE'RE LOOKING FOR
Required:
- 1 years of administrative, coordinator, or customer service experience
- Strong organizational and scheduling skills
- Excellent written and verbal communication
- Proficiency with email, spreadsheets, and business software
- Ability to manage multiple priorities with attention to detail
Preferred:
- Experience in construction, cabinetry, manufacturing, or a trades-based business
- Experience with project management software
- Bookkeeping or payroll support experience
