Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems, directing calls efficiently and professionally while maintaining excellent phone etiquette.
- Handle incoming correspondence, emails, and inquiries with accuracy and promptness.
- Maintain organized filing systems, data entry records, and manage document proofreading to ensure accuracy.
- Perform clerical duties including photocopying, faxing, scanning, and updating records using Microsoft Office .
- Provide customer support by addressing questions or concerns with a positive attitude and effective problem-solving skills.
- Manage office supplies inventory and coordinate procurement to maintain operational efficiency.
- Support administrative functions such as typing correspondence, organizing files.
Qualifications
- Strong customer service skills with the ability to communicate clearly and professionally in person and over the phone.
- Bilingual abilities are highly desirable to serve diverse client needs effectively. Fluent in Spanish and English.
- Familiarity with multi-line phone systems, data entry, filing systems, calendar management.
- Ability to handle multiple tasks efficiently while demonstrating excellent time management skills.
