The Executive Assistant provides advanced administrative and confidential support to senior leaders, performing diversified duties that require discretion, initiative, and broad organizational knowledge.
Essential Functions
- Plan, coordinate, and carry out a wide range of administrative functions supporting executive leaders.
- Perform significant administrative duties with multiple priorities and deadlines.
- Draft, edit, and prepare correspondence, reports, presentations, and other documents.
- Create and maintain spreadsheets, databases, and presentation materials.
- Organize meetings, distribute materials, arrange travel, and transcribe minutes.
- Coordinate special events and assist with hospital readiness activities.
- Serve as a key liaison with senior management, board members, and external contacts.
- Manage executive calendars, appointments, and itineraries.
- Handle confidential information with discretion and professionalism.
- Assist in preparation and monitoring of departmental budgets.
- Provide guidance and direction to clerical personnel within the department.
Other Related Functions
- Maintain departmental policies, procedures, and accurate records.
- Prioritize workload to effectively manage multiple assignments.
- Participate in professional growth opportunities and training.
Education/Training
- Associate’s degree required.
- Two (2) years of customer service, administrative, or secretarial experience may substitute for the degree (in addition to required experience).
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Access).
Experience
- Minimum of five (5) years of customer service, administrative, secretarial, or related experience.
