Position Summary:
We are looking for a detail-oriented and highly organized Document Indexing Specialist to support our team in indexing faxed documents within ProviderFlow and Epic systems. This position is crucial to ensure that all faxed documents are correctly processed, indexed, and stored in the respective electronic health record (EHR) systems, making them easily accessible for healthcare providers and staff.
Role and Responsibilities:
- Review and process incoming faxed documents, ensuring they are correctly imaged and indexed into the Epic system
- Accurately enter patient demographics and accurately index faxed documents, ensuring they are categorized appropriately (e.g., lab results, patient correspondence, insurance documents) for easy retrieval
- Verify the accuracy and completeness of documents before they are uploaded to Epic, ensuring there are no discrepancies or missing information
- Work with the clinical teams to ensure all documents are indexed correctly and meet healthcare regulations (e.g., HIPAA compliance)
- Ensure faxed documents are properly linked to patient records in Epic, ensuring no documents are misplaced or lost
- Attach lab, imaging and consultation documents to the appropriate order
- Ensure timely processing of faxed documents to minimize delays in patient care
- Respond to requests for faxed documents by retrieving them from the ProviderFlow system and providing them in a timely manner
- Resolve any issues related to faxed documents, including missing or incorrectly indexed documents, and escalate to supervisor as needed
- Handle all patient information with confidentiality and in accordance with HIPAA guidelines
Qualifications and Education Requirements:
- Strong attention to detail with the ability to maintain accuracy in fast-paced environments
- Familiarity with healthcare systems, especially ProviderFlow and Epic
- Knowledge of document management best practices and indexing principles
- Understanding of healthcare regulations, including HIPAA compliance
- Proficiency with basic office software (e.g., Microsoft Office Suite)
- Excellent communication and organizational skills
Skills and Abilities:
- Knowledge of medical terminology and clinical documents
- Ability to handle sensitive patient information with confidentiality and discretion
