Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Florida Coast Roofing & Repairs Inc. The ideal candidate will play a crucial role in supporting day-to-day operations by handling a variety of administrative tasks. This role is essential in ensuring smooth communication between our team, clients, and external partners, contributing to the overall success of our business.
Key Responsibilities:
- Provide administrative support to the management team, including scheduling appointments, scheduling and coordinating jobs, coordinating meetings, and handling phone and email communications.
- Answer customer inquiries and direct them to the appropriate roofing specialists.
- Prepare and maintain accurate records, including client contracts, work orders, service
schedules, and pace of work flow.
- Assist in managing client accounts, including generating invoices, tracking payments, and following up on outstanding balances.
- Organize and maintain office files and databases to ensure efficient operations.
- Handle ordering of office supplies, job supplies, and other administrative tasks to support the team.
- Support marketing efforts by updating customer information and assisting with outreach initiatives.
- Assist in tracking project timelines and coordinating with the roofing team to ensure deadlines are met.
- Serve as a point of contact for clients, ensuring their inquiries are addressed promptly and professionally.
- Prepare reports and assist with general office tasks as needed.
Qualifications:
- High school diploma or equivalent; Associate’s degree or higher preferred.
- 2 years of administrative experience, preferably in the construction or service industry.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize work in a fast-paced environment.
- Customer service-oriented with a positive attitude.
- Experience handling billing and invoicing is a plus.
- Notary is a plus but not required.
- Permitting Experience is a plus but not required.
- Roofing Industry Experience is a plus but not required.
Hourly Rate: $16.00 - $20.00 (Based on Experience)
Monday-Friday 8:00 AM – 5:00 PM (1 hour unpaid lunch)
