Florida A&M University's Office of the Controller is pleased to announce the acceptance of qualified applications for the Coordinator, Accounting (Payroll) vacancy.
Responsibilities
This position provides professional accounting and financial management support for the Controller's office. Responsibilities include, but are not limited to, the following: payroll, general ledger reconciliation, financial reporting, budget monitoring, and compliance with University, Foundation, and bond requirements.
Process and assist with University payroll accounting, including reconciling payroll expenditures with HCM and FIN; Recording void/reissues and entering HR vendor updates and payment accordingly; Prepare monthly departmental income Statements and Auxiliary Fund and Housing Operations, reporting unusual activity to the supervisor; Maintain accurate records for University Foundation activities (Funds 117 and 201) and provide monthly analyses for Foundation supported departments by the 25th of each month; Execute daily Journal Generator, enter approved journals into Peoplesoft, and resolve errors promptly; Assist departments with financial reviews, reconciliations and inquiries; and monitor R&R and Debt Service funds, process debt service payments, and prepare annual reports for the Board of Governors, Office of Bond Finance, and external request for information for supervisor review.
Process payroll deduction vouchers for each payroll, including off cycles, to make sure they are sent to AP in a timely manner for payment; Responsible for sending the HR accounting lines to the Financial module for each payroll, creating the payroll journal, and reconciling the journal to the totals in HCM; Correct any chartfield and budget errors as needed in a timely manner before posting the journal to the GL; and responsible for creating the encumbrance accounting lines in HCM biweekly and sending the lines to the Financial module.
Correct any chartfield and budget errors as needed in a timely manner before validating the journal; Distribute the encumbrance report as needed; Create and maintain files for nonresident alien employees and students to ensure the proper taxation of these individuals according to federal regulations; Prepare and submit the monthly sales tax report to the State of Florida, including setting up the online payment; and collaborate with technical staff to ensure Peoplesoft tax tables are current.
Prepare and submit quarterly reports for federal payroll taxes, state unemployment reimbursement, state wage listing and state/federal worksite reporting; Prepare and distribute the annual Unrelated Business Income Tax report; Prepare and distribute the annual W2 and 1042-S information reporting statements in a timely manner to employees and the Social Security Administration; Process requests for duplicate W2 statements throughout the year; and prepare and distribute W2c statements as needed to the affected employees and the SSA for changes made to the previously reported wages and withholdings.
Minimum Qualifications
Bachelor's degree in an appropriate area of specialization and two years of related experience; or master's degree in an appropriate area of specialization. Positions assigned to this class specification may have additional requirements such as possession of a State of Florida CPA Certificate.

Knowledge of collection and/or cash handling procedures and ability to perform monetary transactions;

Ability to prioritize, organize and perform multiple work assignments simultaneously;

Ability to establish and maintain effective working relationships.
Preferred Qualifications
Undergraduate degree in business required, degree in accounting preferred. Two years related experience.

This is an Administrative and Professional (A&P) position.
