Job Summary
Flora Legal Group is an Indianapolis-based immigration firm committed to serving the immigrant community. We are seeking two Spanish-speaking Legal Assistants with a heart and passion to help immigrants and a desire to thrive in a large, team-oriented immigration practice. One of these roles will deliver direct administrative assistance to paralegals and the entire Executive Office for Immigration Review (EOIR) team with a strong sense of customer service. The other will support our Onboarding team. These roles are onsite (typically from 8am-5pm) and based in our office in Indianapolis, Indiana.
Responsibilities and Duties
- Completes tasks assigned by paralegal and other EOIR team members in a timely manner;
- Collects, scans, and uploads documents from clients by appointment or walk-in;
- Completes fingerprint appointments for FBI checks upon request;
- Assembles packets, including printing, scanning, hole-punching, copying, paginating, inserting exhibits;
- Prepares packets for mailing;
- Prints and submits documents to attorneys for review;
- Notifies paralegal of necessary packet edits;
- Contacts the Immigration Court and USCIS for case inquires as assigned;
- Interprets for attorneys during client meetings and translates documents as needed;
- Sends client correspondence as assigned;
- Consistently enters clear and correct notes / all client communication in case management system;
- Completes all tasks in case management software by due date;
- Time tracks hours worked in accordance with the firm's time tracking policy.
Qualifications and Skills
- Fluency in both English and Spanish (conversing, reading, and writing).
- High school diploma or the equivalent required.
- Administrative experience, especially in a legal setting, highly preferred.
- Proficient in Microsoft Office Suite, including Outlook.
- Demonstrate excellent communication skills, verbal and written.
- Superior attention to detail in all aspects of the position.
- Ability to interact with clientele of various cultures and backgrounds in a friendly and welcoming manner.
